Context of the Role and Your Mission
As an Executive Virtual Assistant (Product / Production Associate), you will support the CEO or COO in a scaling, eight-digit eCommerce brand, managing product operations, reporting, and follow-ups across teams, including working with vendors in China. Conversational Mandarin is required. Fluency is preferred.
This role is high-trust and hands-on — not a standard VA position. Your mission is to ensure products, reports, and processes move efficiently and accurately, so clients and teams always have the information and support they need.
You will be the right-hand operator for the production workflow, chasing updates, tracking metrics, and maintaining operational clarity.

What You'll Actually Do
Coordinate Product & Production
Follow up with internal and external teams to ensure timely product updates
- Track product defects, reporting numbers, and status updates daily
- Ensure all production tasks are moving forward without delays
Reporting & Data Management
Check customer service tickets and summarize relevant product data
- Maintain accurate records and compute daily/weekly numbers
- Provide clear updates to the CEO or COO on progress
Operational Support
Assist in managing workflows across teams, ensuring clarity and accountability
- Proactively chase people when tasks or deliverables are pending
- Identify bottlenecks and escalate issues for resolution
What Success Looks Like
- 30 Days: You are independently tracking product updates and reporting numbers accurately.
- 60 Days: You're managing follow-ups effectively across multiple teams and maintaining operational clarity.
- 90 Days: You're confidently driving production processes, ensuring smooth workflows, and supporting the CEO/COO efficiently.
What We're Looking For
- Language Skills: English fluent; conversational Mandarin required (can read, write, and speak).
- Experience: Previous experience supporting eCommerce operations preferred, especially coordinating with suppliers or vendors in China.
- Operational Mindset: Strong follow-up, reporting, and execution skills. Ability to chase and organize multiple threads.
- Soft Skills: Proactive, reliable, and detail-oriented.
