About the Role

The Operations and Admin Assistant provides essential support to both the operations and administrative functions of the business. This role ensures smooth daily operations in-store and in the back office by handling administrative tasks, coordinating with suppliers, maintaining documentation, and assisting management with operational needs.


Duties & Responsibilities

Operations Support

  • Assist in monitoring daily store operations to ensure efficiency and compliance with company standards.
  • Coordinate with store teams to consolidate daily sales, inventory, and expense reports.
  • Support procurement by coordinating with suppliers for orders, deliveries, and invoices.
  • Assist in stock monitoring, inventory reconciliations, and wastage tracking.
  • Help in scheduling and deployment of staff as directed by the Operations Manager.
  • Provide logistical support for store openings, events, and promotional campaigns.

Administrative Support

  • Maintain and organize physical and digital records of contracts, permits, licenses, and compliance documents.
  • Prepare audit-related documentation and support internal compliance checks.
  • Manage filing systems, ensuring information is up-to-date and accessible.
  • Handle email correspondence and communications with external partners, landlords, and service providers.

Reporting & Coordination

  • Prepare monthly, quarterly, and yearly reports as assigned by management.
  • Support coordination between operations, HR, and finance departments.
  • Ensure timely submission of required reports to government agencies or third-party accountants.
  • Provide administrative support during inspections, audits, or mall partner meetings.

Qualifications
  • Bachelor's degree in Business Administration, Hotel & Restaurant Management, or related field.
  • Minimum 1–2 years of experience in administrative or operations support, preferably in the F&B, retail, or hospitality industry.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office / Google Workspace (Word, Excel, PowerPoint, Sheets).
  • Knowledge of POS, inventory systems, or HRIS is an advantage.
  • Excellent communication and interpersonal skills.
  • Ability to multitask, work under pressure, and meet deadlines.
  • Flexible and willing to visit store branches, malls, or external offices as needed.
