Job Description

As an Insurance Administrative Specialist, you'll manage insurance documentation, certificates, and finance agreements with precision. You'll play a key role in maintaining client records, coordinating with underwriters, and ensuring smooth day-to-day operations that support the agency's success in the insurance field.

Employment type: Full-time

Shift: Night shift (9 AM - 5 PM Eastern Time Zone), Weekends Off

The Qualifications We Seek

  • Minimum 3 years of experience in insurance administration or a related field
  • Familiarity with COIs, Accord forms, finance agreements, and notices of loss is highly preferred
  • Experience using EZLynx CRM and RingCentral communication tools preferred
  • Strong attention to detail and accuracy in data entry
  • Excellent written and verbal communication skills in English
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work independently and manage multiple priorities in a fast-paced environment

Your Daily Tasks

  • Prepare, review, and issue Certificates of Insurance (COI) accurately and promptly
  • Complete and maintain Accord forms and related insurance documentation
  • Input rate information and update policy data in the CRM system (EZLynx)
  • Assist in preparing finance agreements and client correspondence
  • Process and track notices of loss, ensuring timely follow-up and documentation
  • Communicate with underwriters, agents, and clients to obtain or clarify information
  • Maintain accurate and organized digital records for all client files
  • Use RingCentral for internal communication, client calls, and collaboration
  • Provide administrative support to account management and operations teams as needed
