We're hiring a meticulous, systems-driven General Office Admin Assistant to keep our operations organized and support daily bookkeeping. You'll manage calendars, documents, and vendor coordination while recording transactions, reconciling bank/e-wallets, and maintaining clean, audit-ready files. You'll work closely with our Senior Accountant/Finance Lead for reviews and sign-offs.

This role is being hired by The Sales Machine for our partner company, Optimo International Group Inc., a long-standing organization recognized for its strength in direct sales and distribution of fast-moving consumer goods (FMCG). With a shared focus on operational excellence and people development, we are assisting Optimo in expanding its finance department by bringing in a General Office Admin Assistant who is committed to accuracy, reliability, and strong work ethics.

With decades of success under our belt and new growth, new brands & new departments on the horizon, we're looking for a driven and people-centric HR Manager to help us recruit, build, and retain a winning sales force—and be a key driver of our continued success.

In this role, you'll work directly with the CFO & CEO, assist in company-wide HR initiatives, and help us attract and retain top talent as we scale.

What You'll Do (Day-to-Day)

Admin Operations

  • Manage calendars, meetings, documents, and office supplies; coordinate couriers and vendors.
  • Draft simple letters, memos, and PDFs; route for approvals/signatures.
  • Maintain organized digital files (clear naming, version control, audit-ready folders).
  • Handle calls, emails, visitor logs, and basic office errands with professionalism.
  • Support HR/payroll with data collation and document control.

Bookkeeping Support

  • Record daily transactions (sales, receipts, disbursements) with correct tags/codes.
  • Update AR/AP trackers; prepare billing, post collections, and log supplier invoices.
  • Perform daily bank/e-wallet/GCash reconciliations; flag mismatches immediately.
  • Maintain petty cash and reimbursement logs with complete attachments.
  • Prepare basic reports (cash position, AR/AP summaries) for accountant review.
  • Help compile draft BIR schedules (VAT/EWT/FWT) and SSS/PhilHealth/Pag-IBIG files for review—no sign-off required.

What We're Looking For (Must-Haves)

  • Common sense + sense of urgency: you act fast, confirm facts, and close loops.
  • Attention to detail: names, dates, amounts, and file labels are always correct.
  • Highly organized: checklists, trackers, and tidy folders are your thing.
  • Clear communicator (written & verbal); respectful and concise.
  • Integrity & transparency: early heads-ups on risks; no surprises.
  • Coachability: you accept feedback and improve weekly.

Nice-to-Have (Not required): Google Sheets/Excel (filters, sort, SUM/VLOOKUP), experience with Xero/QuickBooks/SAP B1, and familiarity with OR/SI, petty cash, and simple reconciliations.

Growth Path

  • Month 1–2: Master filing systems, daily posting, and basic reconciliations.
  • Month 3–6: Own a process (AR follow-ups, AP bills, weekly cash report, vendor coordination).
  • 6–12 months: Progress to Junior Bookkeeper or Admin Specialist with deeper responsibilities & increased pay.

Work Setup & Hours

  • Location: Philippines (Ortigas, Pasig preferred) — onsite/hybrid.
  • Schedule: Weekdays, PH business hours; occasional support during month-end/audit.

Compensation & Perks
