Position Overview

This position will manage the BPO-AP team to ensure that invoices are processed on time and submitted to customers on or before the set deadline. Responsible for monitoring the team's KPI and continuously reviewing current processes for any improvement to increase efficiency.

Responsibilities

  • Manage team workload to ensure that invoices are processed on time and Final Disbursement Accounts (FDA) are submitted to customers on or before set deadline.
  • Monitor team's KPI and continuously review current processes for any improvement to increase efficiency.
  • Support the team in recording receipt of invoices and credit notes and ensure all related services requested for the vessel have the corresponding invoices.
  • Verify the invoices and credit notes to ensure accurate billing and request necessary approvals.
  • Data entry of vendor invoices and credit notes to GAT Ship and AX/Accounting system
  • Prepare internal invoices such as agency fees and crew handling fee.
  • Collate all external and internal invoices for a port call and prepare FDA accurately and timely.
  • Submit FDA to customers (e.g. via email, platform)
  • Data entry for receipts/settlement (Advance fund or settlement) received from client to GAT Ship and AX/Accounting system.
  • Coordinate with Operations team related to services requested and approval of vendor invoices.
  • Coordinate with vendors/sub-agents for any query on invoices or sub-agent's DA
  • Coordinate with customers for the pre-funding and settlements
  • Handle AX journal manual entries (if necessary)
  • Handle Ledger settlement for vessel clearing account.

Requirements and skills

  • At least 3 to 5 years of accounting supervisory experience
  • Experience with accounting software
  • Strong computer skills, MS Excel in particular (managing spreadsheets, creating charts and using advanced formulas)
  • Solid knowledge of bookkeeping and accounting principles, laws and regulations
  • Excellent analytical skills to manage large amounts of data
  • Attention to detail and accuracy
  • Ability to prioritize work
  • BS degree in Accounting or Finance
  • Accounting certification (e.g. CPA) is a plus
