Procurement Assistant

The Procurement Assistant supports the Procurement team in PO issuance, price tracking- finished goods importation, indirect services/ materials. This role ensures that procurement activities are carried out efficiently, accurately, and in compliance with company policies, quality standards, and budget requirements.
- Assist in the sourcing and evaluation of suppliers, vendors, and service providers.
- Prepare and process purchase orders, request for quotations (RFQs), and other procurement documents.
- Coordinate with suppliers on pricing, delivery schedules, and product availability.
- Maintain an updated database of suppliers, price lists, and purchase records.
- Monitor and follow up on the delivery of goods and services to ensure timeliness and accuracy.
- Conduct initial review of supplier invoices to match purchase orders and delivery receipts.
- Support vendor accreditation and compliance with company requirements.
- Help in monitoring stock levels and coordinating with inventory/warehouse teams.
- Provide administrative support such as filing, documentation, and report preparation.
- Perform other related tasks as may be assigned by the Procurement Officer/Supervisor.
Qualifications
- Bachelor's degree in business administration, Supply Chain Management, or related field.
- At least 2–3 years of work experience in procurement, purchasing, or supply chain preferred (fresh graduates may also be considered).
- Basic knowledge of procurement processes and documentation.
- Proficiency in MS Office (Word, Excel, Outlook); familiarity with ERP systems is an advantage.
- Strong organizational and time-management skills.
- Good communication and negotiation skills.
- High level of integrity, attention to detail, and ability to work under pressure.
