Front Desk Receptionist

The Front Desk Receptionist is the first point of contact at Adarna Medical Aesthetics—responsible for welcoming patients with calm professionalism, coordinating bookings efficiently, and ensuring a seamless clinic experience from entry to exit. This role is critical in maintaining the clinic's commitment to excellent service, patient privacy, and brand integrity.
Key Responsibilities:
Patient Interaction & Service:
- Warmly greet clients upon arrival with professionalism and courtesy.
- Manage daily bookings, cancellations, and follow-ups via phone, Viber, Instagram, and Facebook.
- Respond to client inquiries with accurate information about treatments, availability, and protocols.
- Assist in client intake, consent forms, and pre-treatment reminders.
- Handle concerns, delays, or special requests with grace and good judgment.
Administrative & Operational Duties:
- Maintain and organize appointment schedules using digital booking platforms.
- Ensure all client records are complete, updated, and handled with strict confidentiality.
- Prepare daily and weekly reports (patient volume, sales, feedback).
- Monitor and log front desk inventory (forms, brochures, supplies).
- Coordinate with therapists and the Medical Director to ensure schedule efficiency and readiness.
Clinic Workflow Support:
- Relay important client notes or preferences to the appropriate team member.
- Assist with operational tasks such as payment processing, issuing receipts, and handling clinic promos.
- Maintain the cleanliness and calm appearance of the reception area at all times.
- Contribute to in-clinic marketing efforts such as event invites, upselling, and service inquiries.
