We're seeking a Philippines-based Accounts Officer (AR/Payroll) with proven Australian bookkeeping and payroll experience. You'll be part of an Australian business, working closely with our head office team to ensure accurate invoicing, effective debt collection, and compliant payroll processing.

Location: Philippines – 100% Work From Home

Employer: Australian Company

Work Hours: Day Shift (Aligned to Australian business hours, Monday–Friday)

Key Responsibilities

Debt Collection

  • Prepare the Debt Collection Report and follow up with clients via phone, email, and written correspondence
  • Maintain detailed records of all collection activities

Invoicing

  • Update OWNA data for billing and send invoices accurately and on time
  • Prepare quarterly staff discount reports
  • Update OWNA data for CCS payments
  • Ensure all transactions are recorded correctly in OWNA and Xero for Childcare Centres & TLG catering invoices

Parent/Client Queries

  • Respond promptly to invoice, payment, and account balance inquiries
  • Investigate and resolve billing discrepancies, escalating to Head Office as needed

Refund Processing

  • Process bond refunds in line with policy and timelines
  • Process account balance refunds with correct documentation and approvals
  • Maintain accurate refund records for audit purposes in OWNA & Xero

Payroll Processing

  • Prepare and process payroll for all staff within set deadlines
  • Address payroll queries and make adjustments when necessary

Superannuation & Payroll Tax

  • Process superannuation contributions in accordance with Australian requirements
  • Prepare monthly payroll tax calculations and lodge returns

Agency Invoicing & Intercompany Payroll

  • Match agency hours/rates against approved timesheets and liaise with agencies on discrepancies
  • Allocate CCS staff costs and agency costs to relevant intercompany accounts

Compliance & Reporting

  • Generate payroll and AR reports for management and finance teams (e.g., Wages Report)

Skills & Requirements

Must-Have:

  • Proven experience in Australian bookkeeping and payroll (including GST, BAS, IAS, superannuation, and payroll tax)
  • Experience in Accounts Receivable, debt collection, or customer account management
  • End-to-end payroll processing experience with Australian awards and compliance requirements
  • Proficiency in Xero (experience with OWNA and/or Employment Hero is a plus)
  • Intermediate to advanced Excel skills (formulas, pivot tables, reconciliations)
  • High attention to detail, accuracy, and problem-solving skills
  • Excellent English communication skills (verbal and written)
  • Ability to work independently and manage multiple deadlines in a remote environment

  • Experience in the childcare sector or similar industries
  • Familiarity with agency invoicing processes and payroll tax lodgements
