About the Role
The Senior Finance and Accounting Specialist plays a key role in maintaining the company's financial health and operational efficiency. The role oversees end-to-end financial management—including accounting, budgeting, cash flow monitoring, and compliance—while also supporting executive operations and vendor relations. You'll ensure accurate reporting through QuickBooks Online, manage payroll and benefits administration, and deliver actionable insights that guide strategic decision-making. Work hours: 9:00 pm to 6:00 am PHT (during first weeks of onboarding) | 3:00 pm to 12:00 am PHT official working schedule

What you'll do
- Report directly to our Co-Founder & CEO
- Manage and maintain QuickBooks Online, ensuring accurate financial records
- Prepare monthly financial statements (Balance Sheet, Profit & Loss, and Statement of Cash Flows) for executive review
- Prepare monthly budget-to-actual reconciliations by department
- Create quarterly presentations of financial reports and reconciliations for the C-suite
- Monitor and manage monthly cash flow, including credit line usage
- Oversee accounts receivable and accounts payable processes
- Directly manage vendor and creditor relationships, including renewals and contract negotiations
- Provide administrative support to the C-suite as needed
- Process payroll and commission payments accurately and on time
- Work with payroll and insurance providers to maintain state compliance for payroll taxes, workers' compensation, and unemployment insurance
- Manage company benefits plans, including 401(k) eligibility and contributions, as well as health plan administration
- Maintain annual state compliance for business licensing and Broker of Record requirements
- Coordinate with state and commercial agencies to ensure compliance for annual reports related to foreign establishments, disregarded entities, and registered agents
- Reconcile revenue and sales metrics between Salesforce and QuickBooks on a monthly basis
What You Bring
- 5–8 years of experience in accounting, finance, or business operations
- Proficiency in QuickBooks Online and a strong understanding of GAAP principles
- Proven ability to prepare financial statements and budget-to-actual reports
- Experience managing cash flow and vendor relationships
- Familiarity with payroll, benefits administration, and state compliance requirements
- Strong organizational skills and the ability to juggle multiple responsibilities in a fast- paced environment
- Excellent communication skills and comfort working directly with C-suite executives
- A mindset focused on continuous improvement, problem solving, and attention to detail
