Position: Remote Project Coordinator
Job Type: Full-time (40 hours/week)
Location: Philippines (Remote, CST hours)
Salary: $7.5 - $8.5/hr
Overview
We are seeking a proactive and persistent Remote Project Coordinator to join our fast-growing U.S.-based manufacturer of custom interior fixtures for luxury watch and jewelry stores. With new projects coming in weekly, our company needs someone to take charge of day-to-day coordination and ensure nothing falls through the cracks.
You'll be the main point of contact between clients, the internal engineering team, and overseas manufacturing. Responsibilities include managing client communication, tracking samples and materials, and updating the job tracker to keep everything moving.
This role is perfect for someone who thrives on organization, catches every detail, and follows up until the job is done. You'll manage multiple priorities across time zones and help build systems that improve efficiency.
Excellent English communication, a structured mindset, and remote project coordination experience are required. Experience in manufacturing, construction, or design is a strong plus.
Key Responsibilities
Client & Project Communication
- Respond promptly and professionally to client emails and new job requests
- Coordinate with internal teams to respond to client design clarifications and approvals
- Copy clients on relevant updates and ensure responses are clear, timely, and complete
Project Tracking & Follow-Up
- Own and maintain a detailed job tracker, checking and updating it daily
- Follow up persistently with overseas factories, suppliers, and engineers to ensure timelines are met
- Track items like samples, material orders, lighting components, and design approvals
- Track orders and sample shipments to ensure timely delivery and flag delays early
Internal Coordination
- Ensure each job is progressing through its stages: from design to quoting, to engineering, to manufacturing
- Liaise with the engineering team (including a remote drafter) to relay client inputs and ensure drawing timelines are met
- Confirm that required materials or samples have been ordered, shipped, and received on time
Process Improvement
- Create or improve templates, checklists, and internal tools to streamline workflows
- Help systematize repeatable tasks (like email templates and internal documents) to improve speed and reduce errors
- Maintain internal documentation and historical records to eliminate redundant work
Preferred Skills & Qualifications
- 3+ years in project coordination, production support, or related roles (remote experience preferred)
- Background in furniture, fixtures, or manufacturing environments preferred
- Highly organized and highly responsive, with exceptionally strong organizational skills and the ability to stay on top of multiple moving parts across time zones
- Excellent written and spoken English; capable of handling professional correspondence and occasional Zoom meetings with U.S. clients
- Able to read technical drawings (preferred) or eager to learn how to understand CAD shop drawings
- Highly detail-oriented and self-directed, with a strong sense of follow-through
- Strong Google Sheets/Docs/Drive skills — comfortable using shared tracking tools daily
Nice-to-Have (Bonus Skills)
- Experience in high-end manufacturing, furniture, or fixtures industry
- Familiarity with sample/material procurement or design-build workflows
- Previous experience using tools like , Notion, or CRMs for task tracking
- Spanish fluency is a plus, though not required

Pay: Php75, Php85,000.00 per month
