Admin Assistant- Ford Quezon Avenue

The position holder shall undertake the following functions:

  1. Performs job functions consistent with the corporate vision and mission statements and the core values of the company.

  2. Answers incoming telephone calls and routes calls to parties asked for.

  3. Reports cases of telephone breakdowns to and follows-up requested repairmen with the telephone company.

  4. Maintains the phone inquiry logs, prepares summaries and submits these to superiors.

  5. Receives, records, and sorts letters and parcels delivered to the company and dispatches them to the respective addressees.

  6. Sorts and arranges for the mailing and delivery company mails and parcels.

  7. Consolidates errands and schedule messenger trips and/or vehicle usage for the purpose.

  8. Maintains and operates photocopying, reproduction machines and facsimile machines required for administrative and office management concerns.

  9. Coordinates, liaises, or conducts follow-ups with other departments on matters assigned by the superior.

  10. Disseminates internal communication including the Dealer Bulletin Memoranda to the different departments in the head office and the branches.

  11. Validates billings received for utilities such as electricity, telephone and water and prepares requisition for check payment to utility companies.

  12. Responds to inquiries related to the release of checks in payment to suppliers and contractors; Releases and records checks for payment to suppliers and contractors, for refund to customers, for rebate to referrals.

  13. Releases and records cash requisitioned by employees for project expenses, for salaries of maintenance staff, sub-contractors, change fund for cashiers.

  14. Acts as the custodian for the department's petty cash fund for messengerial services, transportation, insurance, freight and shipping, and purchase of emergency supplies.

  15. Performs other duties and responsibilities germane to the position and other tasks that may be assigned by the superiors.
