Order to Cash Team Leader

Job Summary:

We are seeking an experienced and motivated Team Lead for the Order to Cash (O2C) process to manage and oversee the end-to-end O2C function. This includes order processing, invoicing, collections, and cash application. The successful candidate will lead a team to ensure timely and accurate processing of customer orders, invoicing, and collections while maintaining strong relationships with internal and external stakeholders. The role also involves driving continuous improvement initiatives, ensuring compliance with internal controls, and supporting the financial health of the organization.

Key Responsibilities:

• Team Leadership & Management:

Lead, mentor, and manage a team responsible for the O2C process, ensuring high levels of performance, accuracy, and customer satisfaction.

Provide guidance, training, and coaching to team members, fostering an environment of professional growth and continuous improvement.

Conduct regular performance reviews and provide feedback to enhance team productivity and morale.

• Order Management & Processing:

Oversee the end-to-end order processing, ensuring accurate entry of customer orders and timely processing of sales orders into the system.

Work closely with the sales and operations teams to ensure all customer orders are correctly reflected and fulfilled.

Monitor the status of open orders and ensure timely shipping and delivery of products or services.

• Invoicing & Billing:

Supervise the generation of accurate invoices, ensuring they align with contractual terms and reflect the correct order details.

Oversee the timely and accurate dispatching of invoices to customers, ensuring they are processed according to agreed payment terms.

Ensure that any billing discrepancies or disputes are resolved promptly and professionally.

• Cash Application & Collections:

Manage the cash application process, ensuring all customer payments are accurately applied to the appropriate accounts.

Oversee the collections process, ensuring that payments are received on time and in full.

Work with customers to resolve payment issues, disputes, or delays, maintaining strong customer relationships while ensuring timely payment.

• Customer Relationship Management:

Serve as the main point of contact for customer inquiries related to order status, billing, and payments.

Develop and maintain strong relationships with key customers, resolving any issues related to orders, invoicing, or payments in a timely and professional manner.

Collaborate with the sales and customer service teams to ensure smooth communication and resolution of customer concerns.

• Process Improvement & Automation:

Identify and implement process improvements to streamline the O2C cycle, reduce cycle time, and enhance efficiency.

Work with IT and other departments to identify opportunities for automation and system enhancements in order to improve the O2C process.

Lead initiatives to enhance reporting, accuracy, and visibility into the O2C cycle.

• Reporting & Analysis:

Monitor and report on key performance indicators (KPIs) related to O2C processes, including order processing times, invoicing accuracy, cash collection, and DSO (Days Sales Outstanding).

Provide regular updates and analysis to senior management regarding O2C performance, highlighting areas for improvement and making recommendations for optimizing the process.

Support the preparation of management reports and assist with the forecasting and budgeting process.

• Compliance & Internal Controls:

Ensure the O2C process complies with all internal controls, company policies, and relevant regulatory requirements.

Work with the internal audit team to ensure proper documentation and processes are in place for audits.

Implement and monitor internal controls to safeguard against errors, fraud, and compliance issues in the O2C process.

Qualifications:

• Bachelor's degree in Accounting, Finance, Business Administration, or related field.
• 5+ years of experience in finance or accounting, with at least 2 years in a leadership or supervisory role within the O2C process.
• In-depth knowledge of Order to Cash (O2C) cycle, including order management, invoicing, cash application, and collections.
• Strong understanding of accounting principles and financial reporting standards.
• Experience with ERP systems (e.g., SAP, Oracle, Microsoft Dynamics) and proficiency in Microsoft Office, especially Excel.
• Excellent problem-solving, analytical, and decision-making skills.
• Exceptional communication and interpersonal skills, with the ability to collaborate with cross-functional teams and customers.
• Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

Preferred Skills:

• Professional certifications such as CPA, CIMA, or similar are a plus.
• Experience in process automation or the implementation of technologies to improve O2C functions.
• Familiarity with global invoicing and collections practices.
• Experience working in a shared services or multinational finance environment.

Job Types: Full-time, Permanent

Pay: Php57, Php90,000.00 per month
