Role Overview

The Studio Production Coordinator ensures the White Plains Creator House operates like a professional film studio. Every room, prop, wardrobe item, product, and person is exactly where it needs to be so production stays on time, and crews can film continuously without friction.

This role bridges creative operations and logistics, anticipating problems before they happen and preparing each set for filming. You'll manage on-site coordination across a 10,000 sq. ft. creator house, making it function like a Hollywood backlot, efficient, organized, and always camera-ready.

Key Responsibilities:

Production Scheduling & Coordination

  • Maintain daily and weekly shoot schedules in collaboration with the Producer/Director
  • Confirm daily call times, talent arrivals, makeup readiness, and set availability
  • Communicate schedule updates to the DP, Editors, and Recruiting Manager (talent timing)
  • Track shoot progress in real time, mark completed scenes, flag delays, and update next setup times
  • Manage last-minute schedule changes calmly and proactively

Set & Wardrobe Readiness

  • Prepare all filming zones (studio, kitchen, gym, pool, lifestyle rooms) before each shoot
  • Ensure props, wardrobe, and product samples are staged and camera-ready
  • Coordinate with DP for lighting prep and with PAs for setup assistance
  • Maintain wardrobe continuity with a simple catalog by talent and scene
  • Reset rooms immediately after each scene to keep the house filming-ready all day

Logistics & Inventory

  • Maintain inventory of filming gear, props, wardrobe, and product samples
  • Organize storage and labeling systems for fast retrieval (racks, bins, shelving)
  • Track consumables (batteries, tape, bulbs, cleaning supplies) and request weekly replenishments
  • Coordinate food, beverages, and breaks for cast and crew on longer shoot days

Talent & Guest Handling

  • Greet visiting creators, guests, and brand partners; ensure a smooth on-site experience
  • Coordinate with Recruiting on new talent arrivals, NDAs, releases, and onboarding
  • Escort creators to shoot zones and communicate real-time timing updates

Documentation & Reporting

  • Log daily production notes (time in/out, reshoots, issues, completed deliverables)
  • Capture basic behind-the-scenes photos or clips for internal use when needed
  • Submit end-of-day reports to the Producer and Director of Operations

Required Skills & Experience

  • 3+ years of experience in studio coordination, production management, or event logistics
  • Familiarity with content production (TikTok, YouTube, or film set experience preferred)
  • Excellent time management and multitasking skills
  • Highly organized and detail-oriented; able to manage multiple rooms and schedules simultaneously
  • Proficient with Google Sheets, Google Calendar, ClickUp, or similar tools
  • Basic understanding of lighting, camera setups, and set dressing is a plus
  • Strong English communication skills; comfortable working with U.S.-based teams and talent
