Job Description
As a Patient Care Coordinator, you will manage virtual healthcare operations by handling patient communications, appointment scheduling, provider support, and partner outreach. This work requires strong organizational skills, attention to detail, and the ability to deliver professional, empathetic patient service within a fully digital care environment
Job Overview

Salary: PHP 40,000 to PHP 45,000

The Qualifications We Seek
- 1-3 years of relevant experience in a virtual support, healthcare administration, or medical office coordination role
- Prior experience supporting healthcare practices, clinics, or medical offices
- Excellent written and verbal communication skills in English
- Strong organizational skills with ability to manage multiple tasks
- Proficiency in email, calendar management, and basic office software
- Hands-on experience using productivity tools such as Google Sheets, Airtable, and Notion
- Experience with medical scheduling systems (training will be provided on our specific platform)
- Professional phone etiquette with a strong customer service and patient-care mindset
- Ability to work independently, manage time effectively, and prioritize tasks without direct supervision
- Working knowledge of medical terminology, insurance processes, and HIPAA regulations (preferred)

Working Hours
- Must be available during standard business hours in both EST & PST in the US
Your Daily Tasks
Patient Communications & Scheduling
- Process all incoming patient communications (emails, faxes, phone calls) promptly and professionally
- Schedule therapy appointments after completing insurance verification with our team
- Conduct daily follow-up with patients who have missed or canceled appointments
- Maintain accurate patient scheduling records and communication logs
- Facilitate patient onboarding by ensuring portal setup and completion of required intake forms
- Assist patients with payment inquiries and direct them to the appropriate resources
Provider Relations & Business Development
- Create and distribute weekly communications to referral partners about appointment availability and insurance updates
- Coordinate and schedule virtual lunch & coffee meetings between Third Space and potential referral partners
- Order lunch & coffee and coordinate logistics with the referral partner team
- Execute outreach campaigns to strategic partners through cold calling and email initiatives
Operations & Weekly Reporting
- Create and update key operational data to support business performance tracking and decision-making
- Track patient engagement, including no-shows and cancellations, and assist with re-engagement efforts
- Support provider credentialing and compliance, ensuring timely documentation and status updates
Provider & Practice Support
- Assist with admin & logistics related to onboarding new providers
- Ensure proper documentation and compliance for supervision requirements
- Maintain accurate and up-to-date insurance fee structures
