About the Role

Headstart and OpsArmy are hiring a Care Coordination Specialist to own both day-of schedule deviations and proactive family engagement. You'll keep calendars healthy by rescheduling sessions, securing make-ups, and building forward schedules. The role emphasizes relationship building with families and technicians, strict SOP adherence, and rapid, accurate updates in Aloha and OpsArmy systems.

This role suits candidates with prior patient scheduling or care coordination experience (ABA experience preferred), an upbeat phone manner, and top-tier organizational discipline.

Key Responsibilities
Manage Schedule Changes & Recovery
  • Act as the frontline for cancellations and no-shows; rebook sessions and coordinate make-ups.
  • Track and report recovered hours and missed session trends.
  • Apply provider rules to prioritize which cases to backfill first.
Proactive Family & Technician Engagement
  • Reach out to families to confirm availability, gather updates, and reduce future disruptions.
  • Build rapport so families feel supported and "local."
  • Coordinate with technicians to confirm backfills and availability.
Scheduling Operations & Quality
  • Enter and maintain forward schedules in Aloha according to provider and technician availability.
  • Perform QA on schedule integrity and ensure SOP compliance.
  • Alert CSM/OM to recurring issues that affect utilization or family satisfaction.
Collaboration & Communication
  • Provide concise daily reporting on cancellations/reschedules to Headstart CSM.
  • Escalate provider-specific forms, custom rules, or unusual cases per SOP.
  • Participate in SOP iterations during the pilot and provide feedback for improvements.
What You Bring
  • Experience in scheduling, care coordination, or patient operations—ABA experience highly preferred.
  • Neutral U.S. English with excellent phone skills and empathy for families.
  • Highly organized; rigorous about follow-through and documentation.
  • Comfortable using Aloha or similar scheduling platforms.
  • Positive, energetic, and patient-centric. Spanish fluency strongly desirable.
