Job Description: As an Operations Specialist, you will play a critical role in supporting and executing the end-to-end logistics and operations for RGCC SEA in the Philippines. You will be responsible for securing export permits, coordinating with government agencies, and managing the secure and timely shipment of biological samples to our central laboratory in Greece. You will also oversee the delivery and inventory of test requisites to partner practitioners, ensure regulatory compliance, and serve as a key liaison between RGCC SEA, medical practitioners, and logistics providers. Your ability to manage multiple tasks under time pressure, engage effectively with practitioners, and uphold quality standards is essential for ensuring smooth operations in a regulated and time-sensitive healthcare environment.

You will also be expected to support cross-functional operational and administrative requirements as needed, especially where responsiveness, initiative, and independent problem-solving are crucial.

Key Responsibilities:

• Export Permit Application & Coordination

  • Lead the timely application, follow-up, and physical collection of export permits with the Bureau of Quarantine (BOQ) and other relevant agencies.

  • Track permit status to prevent shipment delays and maintain compliance with BOQ procedures and timelines.

• Logistics and Courier Management

  • Coordinate outbound shipments of biological samples using DHL Medical Express and other courier services (e.g. Lalamove, Grab, J&T) for local movement.

  • Ensure compliance with international shipping regulations for biological substances.

• Practitioner Operations Support

  • Engage with RGCC-accredited doctors across the Philippines to facilitate smooth submission of sample and documentation requirements.

  • Proactively resolve logistical or coordination challenges with clinics.

• Test Requisites and Inventory Handling

  • Manage the distribution and restocking of test kits and materials to clinics.

  • Track supply usage and ensure availability ahead of demand.

• Doctor Engagement and Coordination

  • Respond to doctor inquiries related to logistics, requisites, and order status.

  • Support the onboarding of new practitioners and ensure operational readiness.

• Regulatory and Documentation Compliance

  • Maintain detailed and organized logs of shipments, permits, and correspondence.

  • Ensure all processes meet Philippine and international bioshipping standards.

• Issue Resolution and Communication

  • Serve as the first point of contact for operational issues; coordinate solutions involving logistics partners, practitioners, and internal teams.

  • Escalate unresolved issues to the regional operations manager promptly.

• Sales and Outreach Support

  • Collaborate with the sales team to strengthen practitioner relationships, gather operational feedback, and support campaigns or test launches.

Qualifications and Skills:

• Bachelor's degree in Business Administration, Logistics, Sales, or a related field.

• At least 2 years of experience in operations, logistics, sales, or a similar role.

• Strong understanding of export regulations and compliance requirements, particularly for biological materials.

• Proficiency in logistics management, inventory control, and sales coordination.

• Excellent communication and interpersonal skills, with the ability to build strong professional relationships.

• Strong organizational and time-management skills, with high attention to detail.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

• Ability to work independently and collaboratively in a fast-paced environment.

• Sales-driven mindset with a focus on customer satisfaction and achieving targets.
