We're hiring a full-time Bookkeeper to manage day-to-day financial operations including payables, receivables, reconciliations, royalty tracking, and sales tax filings. You'll ensure our records are accurate, compliant with U.S. GAAP, and always up to date, supporting smart decisions and smooth operations.

The right candidate will have solid experience filing multi-state U.S. sales tax. This is a must-have for success in the role.

Responsibilities:

● Enter and categorize vendor bills (screen printing, embroidery, fabric, etc.)

● Match invoices to shipments and production records

● Track payment terms (Net 7, Net 30, daily) and maintain payable schedules

● Monitor outstanding invoices and prepare AR aging reports

● Reconcile payments from Shopify, QuickBooks, ACH, and wires

● Flag overdue accounts and support collections follow-up

● Reconcile bank accounts and company credit cards weekly

● Categorize expenses accurately in QuickBooks Online

● File monthly/quarterly U.S. state sales tax via Avalara

● Track Nexus thresholds and ensure ongoing compliance

● Prepare monthly royalty reports based on gross sales

● Ensure accurate reporting and on-time payments to licensing partners

● Generate basic monthly reports (P&L, Balance Sheet, AP/AR summaries)

● Maintain audit-ready records for internal, legal, and external use

● Collaborate with the CEO and fractional CFO on financial planning

Qualifications:

● 3+ years of bookkeeping experience

● Strong proficiency in QuickBooks Online (required)

● Knowledge of U.S. GAAP accounting standards (required)

● Familiarity with Avalara and U.S. sales tax filings (preferred)

● Experience with eCommerce and Shopify (preferred)

● Excellent attention to detail and accuracy

● Strong English communication skills

● Available in the U.S. Pacific Time (PST) hours
