Job Description Overview:

The Office Engineer at NextAsia Land Inc. plays a pivotal role in ensuring the seamless execution of construction projects. Reporting directly to the Deputy Construction Officer and operating under the guidance of the Project Management Director, this position delivers critical technical, administrative, and coordination support to project teams. Responsibilities include managing documentation, monitoring project costs, processing progress billings, handling contracts and Notices to Proceed, safeguarding project records, and facilitating cross-functional coordination. Through these efforts, the Office Engineer helps maintain efficient site operations and ensures projects are delivered on schedule.

Basic Professional Requirements:

  • Licensed Civil Engineer in the Philippines

  • At least 1–2 years of relevant experience in construction, project coordination, or cost monitoring.

  • Strong background in real estate development projects (Horizontal/Subdivision) is an advantage.

  • Proficient in Microsoft Office (Excel, Word, PowerPoint) for documentation and reporting.

  • Knowledge of AutoCAD or other program tools is a plus.

  • Familiarity with local building codes (BP220, PD957) and real estate industry standards.

  • Strong analytical and organizational skills.

Preferred Qualifications:

· Experience in project documentation, cost tracking, and progress monitoring.

· Skilled in preparing Gantt charts, schedules, and reports for project monitoring.

· Strong interpersonal and communication skills for coordination with contractors, suppliers, and internal teams.

· High attention to detail and accuracy in reporting.

· Sense of accountability and urgency in meeting project timelines.

Essential Duties and Responsibilities:

1. Project Documentation:

a. Prepare, maintain, and update all project-related documentation in terms of NTP, Contracts, COCs, and buyer's acceptance.

b. Manage and maintain project documentation, including records of construction activities, project progress reports, repairs/punch lists, and change orders.

c. Assist in developing and monitoring project schedules and work programs.

2. Cost & Quantity Monitoring:

a. Assist in cost monitoring and control, including verification of contractor progress billings.

b. Prepare and review material requests, and cost comparisons.

c. Support project team in project tracking and forecasting.

3. Reporting & Progress Monitoring

a. Prepare weekly and monthly progress reports for management and client submission.

b. Track construction milestones and highlight potential delays or risks.

c. Document all project changes, variations, and approvals.

4. Coordination and Administrative Support

a. Coordinate and collaborate with Construction Management Team Leader and Site Engineers by providing technical assistance and support.

b. Act as a communication bridge between site operations and office management.

c. Prepare presentations, meeting minutes, and project correspondence.

d. Provide assistance during client meetings and project turn-over documentation.

5. Bids and Awards Committee Administration

a. Prepare necessary materials needed for bid presentations and conduct bidding activities.

b. Evaluate contractor proposals/quotations and negotiate prices and terms.

c. Ensure and monitor bidding timeline from conduct of bidding up to project start to avoid delays in yearly project forecast.

d. Prepare presentations regarding contractor's cost proposals/quotations for Board of Directors approval in weekly BAC meetings.

e. Coordinate with site engineers and contractors regarding mobilization dates to ensure readiness before issuance of NTPs and contracts.

f. Check project records and performance evaluations of existing contractors.

6. Continuous Improvement:

a. Stay updated on industry best practices and emerging technologies to enhance construction processes and outcomes.

b. Suggest improvements to project management procedures based on lessons learned.
