We are currently looking for HR Assistant
The HR Documentation Associate is responsible for ensuring accurate, timely, and organized handling of employee-related documents. The role focuses on employee contract renewals, employment contracts, clearance processing, maintenance of 201 files, and basic employee monitoring to ensure compliance with company policies and labor requirements.
Key Responsibilities:
- Prepare, process, and monitor employee contract renewals (probationary, regular, project-based, and fixed-term).
- Draft, release, and file employment contracts, and HR-related documents.
- Process employee clearances (resignation, end-of-contract, transfer, and termination) and ensure proper completion.
- Maintain, update, and secure 201 employee files in compliance with data privacy standards.
- Track and monitor employee movement, including status changes, renewals, and separations.
- Coordinate with HR Operations, Payroll, and Department Heads to ensure timely documentation and approvals.
- Ensure completeness and accuracy of employee records and report discrepancies to HR leadership.
- Generate basic reports related to contracts, renewals, and employee status.
- Assist in internal audits and compliance checks related to employee documentation.
- Perform other HR administrative tasks as assigned.
Qualifications:
- Bachelor's degree in Human Resources, Psychology, Business Administration, or a related field.
- At least 1 year of experience in HR documentation, HR operations, or personnel administration (fresh graduates may be considered).
- Knowledge of employment contracts, employee records management, and labor documentation.
- Familiarity with 201 filing systems and basic HR processes.
- Strong attention to detail and high level of accuracy.
- Organized, dependable, and able to handle confidential information with discretion.
- Proficient in MS Office (Word, Excel); experience with HRIS is an advantage.
- Good coordination and communication skills.
- Willing to work onsite and manage high-volume documentation.
