The Sales Administrator plays a critical operational role within the Sales team, providing end-to-end administrative and systems support that enables sales representatives to focus on revenue generation and customer relationships.

This role acts as a central coordination point for sales enquiries, quotations, order processing, and CRM data management, ensuring accuracy, responsiveness, and consistency across SAP, Salesforce, and supporting systems.

The position is ideal for someone with previous experience in sales administration or commercial support, strong systems capability, and a high level of attention to detail. Experience in a B2B product-based environment is highly desirable.

What You'll Do

You'll be the kind of person who:

Sales Enquiry & Opportunity Support

  • Manage inbound sales enquiries, ensuring they are logged, qualified, and allocated to the appropriate sales representative
  • Support sales representatives by creating, updating, and following up sales quotations
  • Input and maintain new sales opportunities in Salesforce on behalf of the sales team
  • Follow up opportunities at the request of sales representatives to support deal progression
  • Ensure all customer and opportunity data is accurate and up to date within CRM systems

Order Processing & Sales Administration

  • Monitor and manage the @sales inbox, ensuring timely response and action
  • Process sales orders in SAP, ensuring accuracy of pricing, product codes, delivery details, and documentation
  • Liaise with internal teams to resolve order queries or discrepancies
  • Maintain clear records of orders, quotations, and customer communications

Systems, Data & CRM Management

  • Act as a super user of SAP and Salesforce, supporting day-to-day system use within the sales team
  • Work closely with the Internal Sales CRM Admin Manager to:

  • Maintain data integrity across SAP and Salesforce

  • Ensure alignment between opportunities, quotations, and orders

  • Identify, investigate, and resolve discrepancies between systems

  • Produce basic sales reports, trackers, and dashboards using Excel and CRM data
  • Support continuous improvement of sales processes, workflows, and system usage

Product, Tenders & Documentation Support

  • Support new product introductions by:

  • Setting up product codes in SAP

  • Gathering and maintaining product specification sheets, user manuals, and service manuals

  • Maintain accurate and accessible product documentation repositories

  • Support the Tenders team by:

  • Completing tender documentation

  • Supporting framework extension submissions
  • Ensuring deadlines and submission requirements are met

Stakeholder Collaboration

  • Act as a key point of contact for:

  • Sales representatives

  • Internal teams (Finance, Operations, Product, Service)
  • Customers, where appropriate

  • Liaise with Finance to ensure smooth order-to-cash processes

  • Work closely with Operations and Service teams to support accurate delivery and installation planning

Day-to-Day Activities

  • Managing inbound sales enquiries and allocating them appropriately
  • Creating and following up sales quotations
  • Processing sales orders in SAP
  • Updating opportunities and customer records in Salesforce
  • Producing sales reports and data extracts
  • Supporting sales reps with administrative and system-related tasks
  • Maintaining product and tender documentation

What You Bring

We're looking for someone who:

Essential

  • Previous experience in a sales administration, sales operations, or commercial support role
  • Strong working knowledge of SAP and Salesforce
  • Advanced Excel skills, including pivot tables, VLOOKUP/XLOOKUP, and basic data analysis
  • Excellent attention to detail and data accuracy
  • Confident communicator with internal and external stakeholders
  • Ability to manage multiple priorities and work to deadlines
  • Strong organisational and time-management skills
  • Comfortable handling confidential and commercially sensitive information

Desirable

  • Experience in a B2B, product-based sales environment
  • Exposure to tenders, frameworks, or public sector procurement
  • Experience supporting product launches or new product introductions
  • Familiarity with sales performance reporting and KPIs
