Job Description:
The Procurement Assistant supports the procurement and project teams in sourcing construction materials, equipment, and subcontracted services. This role ensures timely delivery of site requirements, maintains accurate procurement records, liaises with suppliers, and helps optimize cost, quality, and compliance within construction project timelines.
Key ResponsibilitiesProcurement & Sourcing
- Assist in sourcing and selecting suppliers for construction materials, tools, equipment, and services.
- Prepare and issue Requests for Quotations (RFQs) and gather competitive pricing for project needs.
- Support preparation and tracking of purchase orders (POs) to ensure timely fulfillment of site requirements.
- Compare quotes and help perform basic cost analysis for material and service selections.
Supplier & Vendor Coordination
- Maintain an updated list of approved suppliers and subcontractors.
- Follow up with vendors regarding lead times, deliveries, and order status.
- Assist in evaluating vendor performance in terms of pricing, quality, delivery reliability, and compliance.
Project & Site Support
- Coordinate closely with site engineers, site supervisors, and project managers to verify material specifications and delivery schedules.
- Track deliveries to construction sites and ensure required documentation (delivery notes, inspection reports).
- Help resolve delivery discrepancies, material shortages, and quality issues with suppliers.
Documentation & Compliance
- Maintain accurate procurement records including RFQs, POs, contracts, delivery receipts, and invoices.
- Ensure procurement activities comply with company policies, safety standards, and client/contract requirements.
- Support the Finance team in verifying invoices against POs and delivery confirmations.
Administrative Support
- Maintain procurement databases, price lists, and material catalogues.
- Assist the Procurement Officer/Manager with reporting, scheduling, and general administrative tasks.
Qualifications:
- Bachelor's Degree in Business Administration or any related course
- With at least 1 year of experience in procurement
- Basic understanding of construction materials, equipment, and site operations.
