Overview

We are seeking a diligent and organized Medical Records Specialist to join our support team. The primary focus of this role is the accurate and timely management and distribution of medical records. This position is essential for maintaining complete documentation and ensuring smooth communication with insurance providers and physicians. No prior medical expertise is required, as the work is primarily administrative and focused on document handling.

Responsibilities and Duties
  • Responsible for faxing and sending medical records (including Plan of Care, Physical Therapy (PT), Occupational Therapy (OT), Speech Therapy (ST), Medical Social Work (MW) evaluations, re-evaluations, and discharges) to insurance providers and physicians as required.
  • Maintain an accurate log of all outgoing and incoming documents on the agency spreadsheet and Electronic Medical Record (EMR) system.
  • Ensure all medical records are complete, organized, and properly filed.
  • Assist with scanning and uploading documents into the Access EMR system.
  • Upload documents with providers to obtain any missing or additional documentation needed for a complete record
Requirements
  • Experience in an administrative or data entry role is preferred.
  • Competency in using basic office software (e.g., spreadsheets/Excel).
  • Ability to work independently and manage time effectively to meet deadlines.
  • Exceptional attention to detail, strong organizational skills, and a high level of integrity to maintain
  • patient confidentiality (HIPAA).
  • Excellent verbal and written English communication skills.
Nice-to-Have
  • Familiarity with or ability to quickly learn Electronic Medical Record (EMR) systems (experience with Access EMR is a plus)
