JOB SUMMARY

The
Assistant Manager
supports the Executive Director in the effective day-to-day management of
Save Palawan Seas Foundation (SPSF)
. Acting as the operational and coordination lead between executive management and project teams, the Assistant Manager is responsible for program oversight, staff supervision, cross-functional coordination, and supporting strategic and administrative functions. This role ensures that projects are implemented efficiently, aligns operations with organizational goals, and fosters collaboration across teams to advance SPSF's mission of environmental sustainability and community development.

KEY RESULT AREAS

DUTIES AND RESPONSIBILITIES

  1. PROGRAM AND OPERATIONS MANAGEMENT

  2. Supervise the planning, implementation, and evaluation of programs and projects across thematic areas (e.g., agriculture, education, environment, livelihoods).

  3. Ensure that all project teams follow standardized implementation protocols, reporting formats, and timelines.
  4. Support in the preparation and monitoring of program budgets, resource allocations, and logistical needs.
  5. Identify operational inefficiencies and recommend improvements to enhance productivity and project outcomes.

  6. STAFF COORDINATION AND SUPERVISION

  7. Directly oversee and support Senior Project Coordinators and administrative personnel in meeting deliverables and organizational expectations.

  8. Facilitate regular coordination meetings, team check-ins, and performance reviews.
  9. Assist in recruitment, onboarding, and staff development activities, promoting a positive and accountable work culture.

  10. MONITORING, EVALUATION, AND REPORTING

  11. Ensure that robust monitoring and evaluation systems are in place and functioning effectively for all projects.

  12. Consolidate project reports and data into comprehensive internal and external reports for the Executive Director, donors, and stakeholders.
  13. Support quality assurance by reviewing reports, assessing project risks, and ensuring documentation standards are met.

  14. STRATEGIC AND ADMINISTRATIVE REPORT

  15. Assist the Executive Director in implementing strategic plans, annual work plans, and organizational goals.

  16. Act as Officer-in-Charge (OIC) in the absence of the Executive Director, as assigned.
  17. Support the Executive Director in preparing board presentations, donor proposals, and high-level communications.

  18. STAKEHOLDER COORDINATION AND REPRESENTATION

  19. Directs the overall marketing and communications strategy of the Foundation.

  20. Oversees design and content creation, to follow SPSF's brand guidelines
  21. Network building with partners, potential donors, and other stakeholders to support the foundation's projects and initiatives

QUALIFICATION STANDARDS

EDUCATION:

BACHELOR'S DEGREE IN Management, Development Studies, Public Administration, Environmental Science, Agriculture, or any related field.

Master's degree or units in any of the above is an advantage.

WORK EXPERIENCE:

Minimum of 5 years of relevant experience, with at least 2 years in a supervisory or mid-level management role, preferably in a non-profit or development organization.

SKILLED AND COMPETENCIES:

  • Strong leadership and coordination skills, with a track record of managing diverse teams.
  • Excellent communication, organizational, problem-solving, and multitasking abilities.
  • Proficient in budget preparation, project monitoring, and performance tracking.
  • High ethical standards, integrity, and a commitment to community empowerment and environmental conservation.

PREFERRED ATTRIBUTES:

  • Familiarity with the Palawan context and SPSF's thematic focus areas.
  • Capacity to work both independently and in a team-oriented, fast-paced environment.
  • Strong initiative and adaptability to dynamic project environments.
  • Role requires frequent travel. May be based in Palawan.
