Job Summary

The role will work closely with the Technical Team, Construction Team, O&M Team, BD Team, Compliance Team, and other external stakeholders such as consultants and EPC contractors to oversee and process all permitting requirements necessary for the release of imported equipment and claiming of incentives such as duty free importation and vat-refund

Key Responsibilities

  • Prepare and submit required applications and reports to regulatory agencies making sure that these comply with Vena Energy policies and procedures, and regulatory requirements.
  • Consolidate and submit permitting requirements for importation necessary for claiming of incentives . (i.e. Bureau of Customs (BOC), BOI, Department of Finance (DOF), Bureau of Internal Revenue (BIR))
  • Ensure compliance with permitting requirements for importation with incentives i.e. Bureau of Customs (BOC), BOI, Department of Finance (DOF), Bureau of Internal Revenue (BIR),
  • Ensure to maximize availment of duty-free importations.
  • Coordinate with the finance team the claims of tax credits on importations.
  • Ensure, in coordination with the technical team, the EPC Contractors and its brokers and forwarders, that all equipment are timely cleared from the BOC and delivered to the project sites without unreasonable delays.
  • Check and verify import shipping documents , requirements and costs to ensure appropriateness and adequacy;
  • Transmit complete set of documents to Customs Broker for customs clearing;
  • Apply all permitting-related transactions to relevant goods being imported;
  • Coordinate with Finance the payment and funding of the shipments;
  • Coordinate with Finance all tax-related matters including but not limited to tax refund and tax incentives;
  • Point of contact between brokers and suppliers.
  • Tracking, monitoring, and reporting of data and documentations related to the shipment from the port of origin until delivery on site.
  • Manage data for international and local shipment, transportation, and local and international port management, and provide support for the various steps necessary for the mobilization and delivery procedure of all shipments.
  • Coordinate with project development, technical and construction team on the regulatory and logistics matters of SPV companies.
  • Assist with other duties that may be assigned.

Pre-requisites

Education

  • Bachelor's degree in Logistics, Supply Chain Management, Business Administration, Engineering, or a related field
  • Professional certifications in logistics, customs brokerage, or supply chain management are an advantage

Experience

  • Minimum
    5–10 years
    of relevant experience in logistics, importation, customs clearance, or supply chain management
  • Proven experience handling
    duty-free importation, VAT refund, and tax incentive claims
  • Hands-on experience coordinating with
    Bureau of Customs (BOC), BOI, DOF, BIR
    , and similar regulatory bodies
  • Experience working with
    EPC contractors, customs brokers, freight forwarders, and international suppliers
  • Background in
    energy, infrastructure, construction, or large-scale project-based environments
    is strongly preferred

Stakeholder & Coordination Skills

  • Strong coordination skills across cross-functional teams (Technical, Construction, O&M, BD, Compliance, Finance)
  • Ability to manage multiple external stakeholders including
    brokers, suppliers, EPC contractors, and consultants
  • Effective communication skills to act as a single point of contact for logistics and permitting matters
