Job Title: Accounting Clerk
Location: Compostela, Cebu
Reports To: Property Manager / Finance Officer / HOA Board Treasurer
Employment Type: Full-time
Job Summary:
The Accounting Clerk is responsible for supporting the financial operations of the horizontal property (subdivision/homeowners' association) by managing daily accounting tasks. This includes handling homeowner dues, vendor payments, bookkeeping, and assisting in the preparation of financial reports to ensure the property remains compliant with local regulations and maintains financial stability.
Key Responsibilities:1. Financial Transactions and Recordkeeping
- Record and monitor all financial transactions (e.g. homeowner dues, penalties, maintenance fees).
- Issue official receipts and maintain accurate documentation.
- Prepare vouchers, checks, and deposit slips.
Update and reconcile the general ledger and subsidiary ledgers.
Billing and Collection
Prepare and issue billing statements to homeowners.
- Monitor accounts receivable and follow up on overdue payments.
Maintain updated records of homeowner accounts and payment histories.
Accounts Payable
Process payments to suppliers, service providers, and utility companies.
- Ensure completeness of documents (purchase requests, purchase orders, invoices).
Track due dates and avoid late payment penalties.
Reporting and Documentation
Assist in the preparation of monthly financial statements and reports for the Property Manager and/or HOA Board.
Maintain organized records of all financial transactions in accordance with BIR and HOA audit requirements.
Regulatory and Tax Compliance
Ensure proper BIR documentation (e.g., ORs, 2307, VAT or non-VAT compliance).
Assist in preparing annual reports for the SEC, BIR, and other regulatory bodies as required.
Administrative Support
Assist during annual homeowners' meetings and budget planning.
- Coordinate with auditors during financial audits.
- Maintain confidentiality of all financial data.
Qualifications:
- Graduate of BS in Accountancy, Accounting Technology, or related field. Undergrads are also encourage to apply
- At least 1 year of relevant work experience in accounting or bookkeeping (experience in property management or HOA setting is a plus), and fresh gradudates are also encourage to apply
- Proficiency in Microsoft Excel, Word, and accounting software (e.g., QuickBooks, Xero, or Philippine-local systems like RealPage, Rent Manager, etc.).
- Familiar with BIR regulations and basic Philippine tax compliance.
- Excellent attention to detail and organizational skills.
- Good communication skills and ability to interact with homeowners and vendors.
- Must be trustworthy and able to maintain confidentiality.
Work Environment:
- Office located within the subdivision or property management office in Compostela, Cebu.
