The International Freight Coordinator is responsible for handling day-to-day coordination of international air and sea freight shipments, including quoting, bookings, customs clearance arrangements, and container delivery management. This role involves working closely with shipping lines, airlines, freight forwarders, customs agents, sales teams, operations, and senior management to ensure seamless movement of cargo and high service performance.

Key Responsibilities:

Quoting & Pricing

  • Prepare competitive quotes for air freight, sea freight (FCL/LCL), courier, and international logistics services.
  • Liaise with shipping lines, airlines, forwarders, and agents to secure accurate pricing.
  • Work with sales reps to deliver tailored pricing based on customer requirements and timelines.
  • Maintain updated rate sheets and market intelligence for internal teams.

Bookings & Shipment Coordination

  • Make bookings directly with shipping lines, airlines, and freight forwarders.
  • Confirm space, schedules, routing, and transit times with carriers and agents.
  • Collate and verify commercial invoices, packing lists, HAWB/MAWB, and Bill of Lading details.
  • Issue pre-alerts, booking confirmations, and arrange required export/import documentation.

Operational Support

  • Coordinate with customs brokers to ensure smooth clearance for import/export cargo.
  • Arrange container collection, delivery, de-hire, and empty return with transport providers.
  • Track all shipments and communicate ETAs, milestones, and exceptions to internal teams.
  • Ensure timely updates to sales reps, operations, and senior management.
  • Support operational planning and customer expectations through precise communication.

Communication & Stakeholder Management

  • Build strong working relationships with overseas agents, carriers, consolidators, and partners.
  • Work collaboratively with sales reps for new opportunities and client proposals.
  • Provide internal teams with shipment updates, rate changes, and service disruptions.

  • Handle customer enquiries related to bookings, schedules, and documentation.

  • Prepare and lodge all required freight documentation (commercial docs, BLs, AWBs, delivery orders, manifests, etc.).

  • Maintain accurate records in CRM systems and operational logs.
  • Assist with invoicing and billing accuracy for international shipments.
  • Support claims handling and provide required documentation to relevant parties.

Skills & Requirements

Essential

  • Minimum 2–4 years' experience in international freight forwarding (air & sea).
  • Strong understanding of air and sea freight processes, Incoterms, customs documentation, and carrier booking procedures.
  • Experience working directly with shipping lines, airlines, forwarders, and customs brokers.
  • Excellent communication and stakeholder management skills.
  • Strong attention to detail, time management, and organisational ability.
  • Ability to work under pressure and manage multiple shipments simultaneously.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Knowledge of international logistics software or CRMs is an advantage.

Preferred

  • Experience in the Australian freight market is highly desirable.
  • Familiarity with systems such as CargoWise, Magaya, or similar platforms.
  • Experience supporting sales teams with pricing, routing, and customer discussions.
