Xero Specialist

Intouch Tech is a fast-growing IT, Cybersecurity and Telecoms provider supporting businesses across the UK. We're looking for a highly organised Xero Specialist to take ownership of our day-to-day finance operations — ensuring our records in Xero are accurate, up to date, and audit-ready.
You'll be the go-to person for billing workflows, supplier invoice processing, reconciliations, customer account management and reporting, with additional responsibility for supporting telecoms billing (ZOEY/Union Street) and feeding validated payroll data (via Hubstaff) into our monthly process.
This is a key role in the business with room to grow as we scale.
Key Responsibilities
Xero Ownership & Bookkeeping
- Maintain accurate financial records within Xero (sales, purchases, bank transactions, allocations)
- Perform bank reconciliations and resolve discrepancies promptly
- Post and reconcile customer receipts, supplier payments, and transfers
- Keep the chart of accounts tidy and support month-end readiness
- Raise or manage customer invoices and ensure correct coding and customer details
- Handle payment reminders, account queries, disputes, and credit note support
- Maintain clean customer records and improve debtor control processes
- Process supplier invoices, ensure correct approvals/coding, and match supporting documentation
- Prepare payment runs and track payment status and supplier communications
- Maintain supplier records and support cost control visibility
- Support monthly telecoms billing using ZOEY (Union Street)
- Ensure billing outputs align to customer agreements and flow correctly into finance records
- Assist with billing adjustments, credits, and customer billing queries
- Review and validate Hubstaff time-tracking data
- Prepare monthly payroll inputs (leave, overtime, absences) for submission
- Support payroll accuracy by ensuring consistent reporting and approvals
- Maintain accurate CRM records relating to billing/customer accounts
- Support internal teams with finance admin queries and documentation
- Assist leadership with basic reporting, data checks, and operational tasks
About You
You'll thrive in this role if you have:
- Strong working experience with Xero (confident owning day-to-day bookkeeping)
- Minimum of 1 year hands-on experience working with Xero accounting software
- Excellent attention to detail and a process-driven mindset
- Experience across accounts payable/receivable and reconciliations
- At least 1 year of experience in accounts payable and accounts receivable functions
- Clear, confident communication — comfortable chasing payments and resolving queries
- Good IT literacy (Microsoft 365, cloud systems, CRMs)
Nice to have:
- Telecoms billing experience (ZOEY/Union Street)
- Hubstaff/time-tracking or payroll prep experience
- Experience with HR systems (Breathe HR or similar)
