About the Role:

We're looking for a Senior Administrative Support Associate to support our Biomedical Technical Service Department. This role is critical in ensuring smooth after-sales operations, accurate technical service documentation, and effective coordination between customers, service engineers, and internal teams.

The ideal candidate has solid industry experience, understands biomedical service workflows, and values teamwork, accountability, and service excellence.

What You Will Do:

After-Sales & Technical Service Support

  • Coordinate and monitor after-sales service activities including preventive maintenance, repairs, calibrations, and technical service calls
  • Serve as the main administrative support for customers and service engineers, ensuring timely updates and follow-ups
  • Track service requests, turnaround times, and job completion to support service performance and customer satisfaction

Documentation & Records Management

  • Prepare, review, and maintain service-related documents such as service reports, job orders, warranties, calibration records, and maintenance logs
  • Ensure accuracy, completeness, and proper filing of technical service documentation in line with TruLab standards and regulatory requirements
  • Maintain organized records to support audits and internal reviews

Operational Support

  • Assist in scheduling service activities, manpower deployment, and service planning
  • Coordinate with Sales, Warehouse, Finance, and Quality teams for service-related requirements including spare parts, billing, and service contracts
  • Prepare service reports and operational summaries for internal monitoring

Team & Process Support

  • Serve as a resource person for junior administrative staff on service processes and documentation
  • Suggest and support improvements that enhance service efficiency and documentation accuracy

What We Are Looking For:

  • Bachelor's degree in Business Administration, Office Administration, Healthcare Management, Engineering, or related field
  • At least 3 years of relevant experience in after-sales service, technical service support, or administrative roles within the biomedical, diagnostic, or healthcare industry
  • Minimum of 2+ years administrative or office support experience required
  • Good understanding of biomedical technical service operations
  • Strong organisational and documentation skills
  • Proficient in MS Office and comfortable using service management or ERP systems.
  • Clear communicator with a customer- and service-oriented mindset
  • This is a mid-level position requiring demonstrated administrative experience and professional maturity
