Job description:

General Office Administration Support

a. Reporting of branch's concerns to concerned Head Office counterpart

b. Systematic monitoring, tracking, releasing/dispatch of incoming/outgoing documents/parcels of the branch

c. Received, record, monitor and distribute all packages from courier to designated employees.

d. Acts as Branch Revolving Fund custodian (evaluation, disbursements, monitoring and liquidation of expenses)

e. Prepare the branch revolving fund (BRF) accrual of expenses (with SUB RC)

f. Safekeeping of all important branch documents (ORCR, Loans Docs, MIR, Appraisal Report, official receipts, invoices, permits, certificates & others)

g. Renew / Update Business Permit and BIR form of assigned branch

h. Prepare Request for Payment (RFP), Request for Cash Advance (RCA) and Statement of Liquidation (SOL) for Business Permits, Utilities, Transportation & various vendors/suppliers.

i. Updating and monitoring the database of BRF, couriers, supplies and assets.

j. Assist Walk in clients, applicants, vendors, company visitors and answer, filter/transfer of incoming calls to appropriate person.

Repo Management

a. Perform Appraisal and Repo tagging based on applicable parameters

b. Prepare appraisal report to determine motorcycle classification and/or result of loan application

c. Updating and monitoring the Repo inventory of all motorcycle units in the branch (MC reference stickers, redemption, available for sale, sold and transferred MC units)

d. Prepares and submits the Daily Repo Reports (DRR) to head office

e. Prepares an authority to release (ATR) document for redeemed motorcycle unit.

Facilities, Premises and Procurement

a. Oversee and report concerning branch repairs, improvements, renovations, and facilities maintenance

b. Monitor and prepare reports pertaining to utility bills, office & janitorial supplies, meter reading of photocopier, payments from vendors/supplies, FFEs movements

c. In-charge of the Sumisho's general pest control in the Branch (if any)

d. Prepares incident reports / violations reported by security guard, utility and concerned department

e. Check and submit the branch floor walk, fleet card and employees motorcycle allowance reports

f. Act as Keys Custodian of the branch and motorcycle warehouse

g. Monitor the FFEs inventory of the branch

h. Prepare the accountability forms and sticker asset tagging of all FFEs at the branch

i. Prepare and receive delivery of requested branch office supplies & FFEs

j. Source out different suppliers/vendors for needed items
