Job Title: Accounts Payable Specialist

Primary Function / General Purpose of Position:

This position is responsible for supporting the daily operations of the Accounts Payable Department. Core duties include processing and entering accounts payable invoices, responding to vendor and internal inquiries regarding payment status, and ensuring invoices are handled accurately and in a timely manner in accordance with established policies and guidelines.

Essential Job Functions:

  1. Accurately enter Purchase Order (PO) and Non-Purchase Order (Non-PO) invoices into the system based on departmental guidelines.

  2. Process recurring and contract payments in alignment with Contract Management procedures.

  3. Collaborate with the local Material Management team to ensure proper invoice matching and PO compliance.

  4. Verify approvals on check requests to ensure appropriate authorization.

  5. Validate OCR (Optical Character Recognition) accuracy for Non-PO invoices.

  6. Resolve issues flagged by internal groups and clear follow-up queue items.

  7. Conduct daily reviews of invoice batches to ensure data integrity.

  8. Confirm necessary documentation is attached before releasing invoices for payment.

  9. Ensure compliance with local, state, and federal tax regulations related to invoice processing.

  10. Manage monthly accruals for unpaid invoices in alignment with accounting policies.

  11. Handle stop payments and reissue checks in accordance with standard procedures.

  12. Maintain strong relationships with vendors and internal teams; resolve payment inquiries and statement discrepancies.

  13. Meet or exceed daily performance metrics for invoice processing volume and accuracy.

  14. Prepare, analyze, and report productivity and invoice processing metrics to Accounts Payable Leadership.

  15. Administer purchasing and expense reimbursement policies, including approval limits and PCard/TCard management (issuance, termination, decline resolution, and aging reports).

  16. Contribute to enterprise and departmental strategic planning, and maintain relationships with internal stakeholders (e.g., Procurement, Department Heads) and external vendors.

  17. Perform additional duties as assigned to support the department.

Qualifications:

  • Education: College graduate (Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred).

  • Experience: Minimum of two (2) years of hands-on experience in an Accounts Payable department (required).

  • Work Setup: Willing and able to work onsite.

  • Schedule: Amenable to shifting schedules.

  • Location: Must be willing to work in either Makati or BGC, Taguig.
