Job Summary:
We are seeking a proactive and detail-oriented Communications & Operations Coordinator to support daily communications and internal processes within a dynamic, fast-paced sports organization. This role is ideal for someone who thrives on consistency, enjoys behind-the-scenes execution, and takes pride in keeping systems and communications running smoothly. Duties and Responsibilities:
- Send daily outreach emails and text messages to teams and captains using pre-written scripts and templates.
- Update and manage internal schedules across 20+ facilities using ClickUp, ensuring accuracy and clarity.
- Maintain Google Sheets to track completed outreach and other operational tasks.
- Collaborate with internal stakeholders to align on evolving administrative and scheduling priorities.
- Support league operations by ensuring timely and accurate communication with registered teams.
- Assist with seasonal preparation tasks and administrative planning for upcoming league cycles.
- Provide light recruiting support (e.g., organizing resumes in JobScore, coordinating follow-ups) as needed.
- Perform other related administrative duties based on shifting team needs or seasonal priorities.
Required Skills and Abilities:
- Excellent written English communication skills with a high degree of accuracy and professionalism; strong verbal communication for internal meetings and team collaboration.
- Exceptional attention to detail and ability to follow structured workflows consistently.
- Proficiency with Gmail, Google Sheets, and task management tools (e.g., ClickUp or similar).
- Strong organizational skills and ability to manage recurring daily tasks across multiple systems.
- Self-starter with the ability to adapt to shifting priorities in a fast-paced, team-based environment.
- Must be available to work overlapping hours with U.S. Eastern Time Zone (starting around 8:30 AM ET), especially during onboarding and initial training.
Preferred Qualifications
- Experience in scheduling, team communications, or operations support roles.
- Familiarity with youth sports, league operations, or seasonal program logistics.
- Experience with programs like ActiveCampaign (for marketing and sales automation) and ClickUp (for task and project management).
