The Document Controller ensures the accurate and organized management of all documents related to the Engineering and Maintenance Department. This includes updating daily reports, releasing maintenance schedules, filing project and compliance documents, tracking KPIs, and coordinating with other departments for document processing and approvals. The role supports efficient operations through proper documentation of materials, fund usage, meetings, and site activities.

Responsibilities:

· Updates Daily Monitoring for Maintenance Team

· Updates Daily Monitoring for Farm Devt and Proj Devt

· Releasing of Weekly PM/CM Schedule Based on Master Schedule

· Coordination with other Department and BU

· Update KPI Monitoring based on accomplished work

· Compiling/Logging of Project Documents as Necessary

· Collecting and Filing of Checklists / Report Docs and Bldng Plans

· Disposing of Unnecessary Documents and Supersedes Docs

· Releasing of Signed and Approved Procedures/Memos

· Attend Monthly Meetings and Logging MOM

· Logging EMD Materials and Spare Parts

· Loggin of Advances and Revolving Funds

-Coordination for Signatories of Documents

-Support to documents filing of Cooperative / Government Projects

-Site Visits

Qualifications:

  • Bachelor's degree in Engineering, Office Administration or related field
  • At least 2 year of related experience (fresh graduates welcome)
  • Knowledge in document control, records management, or admin support (preferably in engineering/maintenance)
  • Proficient in MS Office (Excel, Word, Outlook, PowerPoint)
  • Basic understanding of engineering/maintenance documents
  • Familiarity with document control standards is a plus
  • Detail-oriented, organized, and able to manage multiple deadlines
  • Willing to conduct field/site visits when needed
