Job Summary:
We are seeking a proactive and detail-oriented Sales and Documentation Specialist to join our real estate team. This role combines client prospecting and relationship-building with the administrative handling of title transfer processes. The ideal candidate will be responsible for identifying prospective clients in need of title transfer services, guiding them through the process, and ensuring all documentation and regulatory requirements are completed accurately and efficiently.
Key Responsibilities:
Client Prospecting & Sales:
- Actively identify and reach out to potential clients who require assistance with property title transfer.
- Promote and explain company services related to real estate documentation and legal processing.
- Build and maintain strong relationships with property owners, brokers, developers, and other stakeholders.
- Maintain a pipeline of leads and regularly follow up to convert them into paying clients.
- Achieve monthly or quarterly targets for new client acquisitions.
Documentation & Title Processing:
- Coordinate the end-to-end processing of property title transfers, including gathering, reviewing, and submitting necessary documents.
- Liaise with government agencies (e.g., Registry of Deeds, BIR, LGUs) to facilitate the processing and release of land titles and other legal documents.
- Ensure all documents are complete, accurate, and compliant with legal and regulatory requirements.
- Monitor timelines and provide clients with regular updates on the status of their applications.
Customer Service & Coordination:
- Act as the main point of contact for clients during the documentation process.
- Address inquiries, concerns, and issues in a professional and timely manner.
- Work closely with internal departments (legal, accounting, logistics) to ensure smooth processing of each transaction.
Records & Reporting:
- Maintain accurate records of all client transactions, documentation status, and communications.
- Prepare regular reports on sales performance and documentation progress.
- Assist in refining documentation processes and identifying areas for improvement.
Qualifications:
- Bachelor's degree in Business Administration, Real Estate Management, Marketing, or related field.
- Experience in real estate, property documentation, or title transfer is highly preferred.
- Basic knowledge of real estate laws and procedures, especially in title transfers and land registration.
- Strong communication and interpersonal skills.
- Sales-oriented mindset with the ability to meet and exceed targets.
- Excellent organizational and documentation skills with keen attention to detail.
- With experience in visiting government offices, clients, or property sites.
