About the role
The Property Officer is responsible for the efficient management, control, and documentation of company assets, ensuring proper inventory management, asset tagging, issuance, disposal, and logistics coordination. The role supports both head office and branch operations to ensure that all property-related transactions are accurately recorded and compliant with company policies and procedures.
Job Responsibilities:
1. Inventory Management
- Maintain an up-to-date record of all company assets and inventories.
- Conduct periodic physical inventory and reconciliation with the asset registry.
- Monitor the movement, utilization, and condition of company assets.
2. Asset Disposal
- Facilitate the disposal of assets from branches and head office in accordance with company guidelines.
- Prepare necessary documentation and coordinate approvals for asset write-offs or disposals.
- Assist in the auction or sale process of assets, ensuring transparency and compliance.
3. Processing of Deed of Absolute Sale
- Prepare and process the Deed of Absolute Sale for company vehicles and other assets approved for disposal.
- Coordinate with Legal, Accounting, and concerned departments to complete the turnover process.
- Maintain records of all disposed assets and corresponding documents.
4. Asset Tagging and Issuance
- Ensure all new assets are properly tagged and recorded before deployment.
- Facilitate the issuance, transfer, and tracking of assets to respective users or branches.
5. Receiving of Deliveries
- Receive and inspect deliveries of equipment, supplies, and assets to ensure compliance with purchase orders and specifications.
- Document and update inventory systems accordingly.
6. Gate Pass and Stock Transfer Preparation
- Prepare gate passes and stock transfer documents for all outgoing or transferred items.
- Ensure proper authorization and documentation for all asset movements.
7. Logistical Coordination
- Coordinate and schedule logistical requirements for asset transfers, deliveries, and retrievals.
- Liaise with internal departments and external service providers for transport and storage arrangements.
8. Other Duties
Perform other related duties as may be assigned by the immediate head to support property and administrative operations.
Job Qualifications:
- Bachelor's Degree in Business Administration, Supply Chain Management, Property Management, or related field.
- At least 2–3 years of relevant experience in asset management, logistics, or administrative operations.
- Strong organizational and documentation skills.
- Proficient in MS Office and inventory management systems.
- Knowledge of procurement and asset disposal processes is an advantage.
- With high attention to detail, integrity, and ability to work independently.
