Role Overview

The Workforce Planning Specialist is responsible for strategically managing and optimizing workforce resources to ensure smooth operations, maximize employee productivity, and maintain cost efficiency. This role requires close collaboration with department managers, operations teams, and other stakeholders to forecast staffing needs, implement effective schedules, and ensure compliance with company policies and labor regulations.


Key Responsibilities
1. Workforce Planning & Forecasting
  • Develop and implement staffing plans and schedules aligned with operational requirements.
  • Collaborate with department managers to assess workforce gaps and forecast future staffing needs based on business demands.
  • Utilize workforce analytics to provide insights and recommendations for better resource allocation.
2. Scheduling & Tracking
  • Create and maintain accurate employee schedules ensuring optimal coverage during peak and off-peak periods.
  • Adjust schedules as needed to address absences, vacations, sudden changes in demand, or other operational disruptions.
  • Monitor and ensure adherence to work schedules and productivity targets.
3. Communication & Coordination
  • Act as the primary point of contact for all workforce-related inquiries and concerns.
  • Liaise effectively with Operations, IT, HR, and other departments to ensure smooth workforce management processes.
  • Facilitate clear communication between managers and staff, ensuring expectations are well-defined and concerns are addressed promptly.
4. Compliance & Reporting
  • Ensure compliance with labor laws, internal policies, and industry regulations regarding working hours, overtime, and employee welfare.
  • Maintain accurate and up-to-date workforce and shift records.
  • Prepare and submit workforce-related reports and analytics to management and relevant stakeholders.
5. Process Improvement
  • Identify opportunities to streamline workforce management processes, improving scheduling efficiency and operational productivity.
  • Support the implementation of new tools, systems, and best practices for better scheduling, attendance tracking, and reporting.

Required Skills & Qualifications
  • Bachelor's degree in Business Administration, Human Resources, or a related field (or equivalent work experience).
  • Proficiency in workforce management software and tools (e.g., Kronos, SAP, Workday, etc.).
  • Strong organizational, time management, and multitasking skills.
  • Excellent analytical and problem-solving abilities.
  • Effective communication and interpersonal skills to work closely with employees, managers, and stakeholders.
  • Ability to adapt to shifting business needs and manage multiple priorities in a fast-paced environment.

Preferred Qualifications
  • Experience in workforce planning within F&B, BPO, retail, or healthcare industries.
  • Solid understanding of Philippine labor laws and workforce compliance standards.
  • Familiarity with data analytics and forecasting techniques for workforce optimization.
