Schedule: Monday to Friday — 9:00 AM to 4:00 PM PDT (1-hour unpaid lunch break)Client Timezone: Vancouver, CA (PDT)
Total Weekly Hours: 30–35 hours
Join our client's team as an Immigration Law Firm Receptionist and play a key role in supporting clients through their legal journey. We're looking for a professional with excellent English communication skills, proficiency in Microsoft Office and Adobe Acrobat, and experience handling invoicing via Stripe or Wave. Responsibilities
Call Handling: Manage incoming calls, document messages, and direct inquiries accurately.
Meeting Scheduling: Schedule consultations via Microsoft Teams and Outlook Calendar.
Data Entry: Accurately input client information into online portals and maintain organized records.
Email Management: Monitor and respond to emails promptly and professionally.
Client Communication: Provide updates on case progress, confirm or reschedule meetings, and send reminders.
Case Management Support: Assist with legal submissions, track deadlines, organize documents, and maintain case files.
Government Correspondence: Communicate with Canadian immigration authorities to support client files.
Contract Drafting: Prepare client service agreements using firm templates, ensuring accuracy and compliance.
Invoicing & Payment Tracking: Issue invoices, monitor payments, and manage recurring invoices (experience with Stripe and Wave Accounting required).
Confidentiality: Maintain strict confidentiality and comply with data protection regulations.
Requirements
Excellent English communication skills (written and verbal)
Proficiency with Microsoft Word, Outlook, Excel, Planner, and Teams
Experience with Stripe or Wave Accounting for invoicing and recurring payments
Skilled in Adobe Acrobat (e-signatures, document editing, file organization)
Professional, proactive, and composed when interacting with clients and legal staff
Strong attention to detail and commitment to confidentiality
Prior experience as a virtual assistant, legal assistant, or office administrator required
Legal office experience preferred but not mandatory
Technical Requirements (Laptop/Desktop)
Windows: Intel i3 (6th Gen) or Ryzen 5 (3rd Gen), Windows 10+
Mac: Catalina OS or newer
RAM: 8GB+
Internet: Minimum 25 Mbps stable connection
Note: This role does not involve customer support or emotional counseling. The ideal candidate will focus on providing clear, factual information and efficient administrative support.
