Job description

We're on the lookout for a proactive and detail-oriented Administrative Assistant to become a vital part of our team. In this role, you'll play a key part in ensuring our administrative processes run smoothly, providing our clients with top-notch experiences. Your efforts will keep our team organized and our clients well-informed and engaged. Ideally, we're seeking someone with previous experience in a property agency or management company at an assistant level, who is familiar with the industry's intricacies and ready to dive right in.

Key Responsibilities:

Lead Management: Ensure lead status is current daily by updating spreadsheets and checking the CRM, keeping our pipeline flowing smoothly.
Appointment Coordination: Track booked appointments using Calendly, aligning with Active Campaign and lead tracker to optimize our scheduling.
Sales Data Tracking: Monitor sales conversions and update the sales team trackers on client sign-up details, and maintain an accurate record of our progress.
Creative Content Creation: Occasionally create posts, documents, and images using Canva for emails, lead magnets, eBooks, fact sheets, and more to engage our audience.
Sales Team Administrative Support: Follow up on building inspection reports by property build milestones and prepare client folders including compiling property details, research reports, rental appraisals, and prepare Excel sheets for cash flow analysis of property opportunities.
Meeting Coordination: Attend sales meetings to take detailed notes, coordinate actions, and outline next steps for clients, ensuring seamless follow-up and execution.
Email Management: Monitor and organize the executive's inbox, prioritize emails, and draft responses to ensure timely communication.
Document Preparation: Create, edit, and format documents, presentations, and reports to support business operations and client communications.
Client Relations: Assist with client inquiries, maintain client databases, and ensure a positive experience for investors by providing timely updates and information.
Research and Data Analysis: Conduct market research, analyze data, and prepare summaries to support strategic decision-making and investment opportunities.
Social Media and Marketing Support: Occasionally assist with content creation, scheduling posts, and monitoring engagement to enhance the company's online presence.

Job requirements

preferably seeking a candidate who has previous experience working in a property firm on an admin role.

Candidate should have experience EA/personal assistant
