Inventory and Logistics Officer

Job Summary:

The Warehouse Inventory and Logistics Coordinator is responsible for overseeing and managing inventory, coordinating logistics and delivery schedules, maintaining warehouse organization, and ensuring documentation accuracy. This role supports smooth warehouse operations while ensuring timely and accurate delivery of goods, compliance with safety standards, and coordination with cross-functional departments.

Key Responsibilities: 1. Inventory Management

• Monitor and maintain accurate stock levels to meet operational and customer demands.
• Conduct weekly cycle counts and regular physical inventory audits to prevent discrepancies.
• Record all stock movements and update inventory management systems (e.g., Excel sheets, monitoring tools).
• Reconcile discrepancies and ensure proper storage, labeling, and bin allocation.
• Identify critical stock levels and coordinate with the Purchasing Department for timely reordering.
• Maintain and update Stock Cards and inventory monitoring tools (e.g., e-commerce platforms).

2. Logistics & Delivery Coordination

• Schedule, monitor, and coordinate deliveries using tools like Google Calendar in collaboration with the Logistics team.
• Assign appropriate personnel and vehicles for delivery and installation tasks.
• Supervise and facilitate loading/unloading of materials and finished goods.
• Track and encode driver trips, vehicle usage, toll fee balances, and fuel/mileage records.
• Create and monitor itinerary forms, warehouse orders, and vehicle monitoring logs.
• Resolve delivery-related issues and delays promptly.

3. Warehouse Operations & Storage Utilization

• Oversee space planning and warehouse organization including bin and racking location assignments.
• Ensure proper segregation of damaged, incomplete, reserved, or event stocks from commercial inventory.
• Implement FIFO/FEFO methods as applicable.
• Maintain a clean, safe, and efficient warehouse environment.
• Label inventory clearly, including stock history (e.g., pull-out, for repair) and reserved items as advised by Sales.

4. Receiving and Quality Checks

• Assist in receiving operations and verify items against delivery receipts or invoices.
• Inspect packaging and products for damages, contamination, or mishandling.
• Segregate and document any damaged or defective items.
• Maintain receiving logs and coordinate with suppliers or relevant departments for any discrepancies.

5. Documentation and Reporting

• Process sales orders, print and prepare delivery documents (Delivery Receipt, Collection Receipt, Sales Invoice).
• Issue and log withdrawal slips for inventory tracking and backtracking.
• Maintain accurate documentation of inventory transactions and logistics activities.
• Prepare regular inventory and logistics performance reports for management.

6. E-Commerce Fulfillment

• Coordinate picking, packing, and shipping of e-commerce orders (e.g., Shopee, Lazada, TikTok).
• Print waybills, shipping labels, and update e-commerce inventory monitoring sheets.
• Ensure proper allocation of stock per platform and verify outbound items.

7. Maintenance and Safety Compliance

• Oversee the repairs and preventive maintenance of warehouse vehicles and equipment.
• Coordinate warehouse repair and upkeep with third-party suppliers or on-call staff.
• Implement and maintain warehouse cleanliness, organization, and safety protocols.
• Report hazards, incidents, or maintenance issues promptly and participate in safety initiatives.

• Knowledge in Microsoft Excel, Google Sheets, and e-commerce platforms
• Familiarity with logistics operations and basic vehicle/fleet monitoring

Job Type: Full-time

Pay: Php21,000.00 per month
