Job Overview:

The Portfolio Account Specialist oversees and manages a designated set of customer accounts linked to specific agents or teams. They act as the main coordinator between internal teams and the agent/sales/operations group, handling billing disputes, overdue balances, credit issues, and customer escalations. While they don't manage direct reports, they provide guidance to cross-functional teams in billing, collections, credit, and operations.

Responsibilities:

  • Portfolio Oversight - manage and track the entire account lifecycle for assigned agents, regularly reviewing aging reports to identify overdue balances, short payments, and unresolved billing issues
  • Dispute & Issue Resolution - handle billing disputes and payment discrepancies by working with internal teams and external parties, serving as the main contact for accounting-related escalations affecting the agent's customers.
  • Credit Review & Risk Mitigation - assess customer accounts nearing or exceeding credit limits and work with the Credit and Clearance team to evaluate credit-worthiness and prevent service interruptions
  • Cross-Functional Collaboration - work closely with Collections, Billing, Operations, Customer Service, and other internal teams to resolve issues and ensure smooth service delivery. Collaborate with customers and internal departments to optimize billing, payment, and reconciliation processes. Utilize EDI and billing tools, and provide guidance to internal teams supporting the agent's accounts to ensure alignment and accountability
  • Agent & Customer Support - serve as the liaison between agents, internal teams, and customers to ensure a positive customer experience, while proactively addressing issues that affect account health
  • Reporting & Communication - deliver regular account updates to stakeholders and agents, highlighting risks and resolution progress, and prepare reports or portfolio summaries for meetings as needed

Qualifications:

  • 3–5 years of experience in account management, collections, credit, or customer service roles
  • Strong understanding of accounts receivable processes, credit policies, and dispute resolution
  • Excellent communication and interpersonal skills; able to manage multiple stakeholders and build trust across teams
  • Ability to interpret aging reports, financial documents, and account data
  • Proven ability to lead without authority and influence cross-functional teams
  • Detail-oriented with strong organizational and problem-solving skills
  • Proficiency in Excel, Salesforce and ERP/AR systems (e.g., Microsoft Dynamics, SAP, Oracle, NetSuite) preferred
