Position: Operations Associate

Working Hours: Monday to Friday, TBD

Salary Range: $1,000 - $1,500 USD (Final offer depends on client approval and overall assessment of candidate's skills and experience)

About the job:

We are seeking an Operations Associate to support the daily operations of the business as the company scales. The ideal candidate has experience in customer service & success, administrative tasks (billing, invoicing), HR, and CRM data management.

This role will play a critical part in building the internal structure that supports Insights Prep's growth. The Operations Associate will collaborate closely with the broader operations team and with leadership to implement systems, track KPIs, and improve coordination across departments while ensuring operational excellence.

Duties and Responsibilities:

  • Manage day-to-day operations and ensure cross-functional efficiency.
  • Communicate daily with customers through different channels (WhatsApp) and handle their requests in a personalized way that leaves customers feeling delighted
  • Manage coordination between departments and teams (e.g., sales, HR, tutors) and continue to streamline internal workflows.
  • Support tutor sourcing, outreach, hiring, and onboarding processes - ensuring quick responses to continually attract and retain top talent
  • Oversee data entry, organization, and analysis, ensuring all information is accurate and readily accessible
  • Implement process improvements and continually flag issues / propose solutions to improve operational constraints 

Qualifications:

  • 2-5 years of experience in operations, customer service, administration, and/or HR roles
  • BS degree in business, HR, or related field. MS degree preferred
  • Strong analytical and problem-solving abilities.
  • Strong work ethic - ability to wear multiple hats and work in a very fast-paced environment
  • Proficiency in digital tools and CRMs (e.g., Zoom, Hubspot, etc.) 
  • Excellent written and verbal English communication skills; additional languages are a plus.
