We're on the lookout for an experienced Conveyancing Assistant who knows the ins and outs of Queensland, Australia property law. In this role, you won't just keep files moving—you'll play a key part in contract reviews, internal communications, and ensuring smooth, stress-free transactions from start to finish.

What are you expected to do?

  • Own the process: Review contracts of sale/purchase and manage conveyancing files from the ground up in our practice management system.
  • Be the first touchpoint: Prepare client letters and communications that set the tone for a smooth legal journey.
  • Keep things moving: Track key milestones like pest inspections and building reports, making sure nothing slips through the cracks.
  • Drive transactions forward: Prepare client agreements, searches, PEXA authorisations, and all supporting documentation.
  • Make settlements seamless: Draft settlement statements and prepare closing letters that bring matters to a professional finish.
  • Support beyond conveyancing: Assist with wills, dictations, DocuSign processes, and other legal admin that keeps the team running smoothly.
  • Close with care: Oversee matter closure and file archiving, ensuring compliance and order every step of the way.

You'll be a great fit if:

  • You have 3+ years' proven experience as a Conveyancing Assistant in Queensland and know the state-specific requirements inside out.
  • You're confident with PEXA and practice management systems (like EvolveGo or Smokeball).
  • You're skilled in Microsoft Word and Outlook, keeping things efficient and professional.
  • You have prior experience preparing wills from dictation.
  • You have proficiency in DocuSign and other digital documentation tools.
  • You thrive on organisation—juggling multiple deadlines without missing a beat.
  • You communicate clearly and confidently, both in writing and speaking.
  • You care about detail, delivering accurate documents every time.
  • You work independently while being a reliable right-hand to solicitors.

Please note: This role is remote; however, we require candidates to be based locally in the Philippines. This is to support occasional onsite activities such as team events, client meetings, or equipment handover. Additionally, local residency is necessary for compliance with Philippines labor laws and employment regulations.

What happens after you submit your application?

The whole process takes around 4 weeks:

  • There will be 3-4 interviews and a possible assessment from our client partner. You will undergo an initial interview, a culture interview, and 1-2 interviews with our cool client. This will run for about 1-2 weeks but we will let you know if we need to ramp it up. Be yourself and have fun.
  • We will constantly communicate with you as to the development of your application. You can also directly communicate with us to ask us about the status of your application.
  • If all goes well, we complete the reference check and provide other necessary requirements so we can offer you the job right away.

  • Character references with contact info
