Accounts Payable Specialist

JOB SUMMARY

Responsible for consolidating operating expenses, monitoring accounts payable aging, and reconciling inter-outlet transfers and daily transactions with accuracy and timeliness. It plays a critical part in safeguarding financial integrity by ensuring compliance with accounting standards, resolving variances promptly, and providing reliable reports that enhance expense visibility and support efficient payment processes within the Finance Department.

DUTIES AND RESPONSIBILITIES

1. Consolidation and Analysis of Operating Expenses

• Conduct comprehensive reviews of monthly food and labor costs for ACCI and Presidents Bar to identify high-expense areas requiring management oversight.
• Prepare detailed inventory and food cost analysis reports for leadership review.
• Perform account-based expense analysis covering labor, utilities, and other operating costs across all store locations.
• Verify labor costs against HR records to ensure consistency and accuracy.
• Audit utility-related expenses and supporting documents for completeness and compliance.

2. Review and Monitoring of Accounts Payable Aging

• Review and reconcile monthly Statements of Account, ensuring proper posting, settlement, and accuracy of all recorded sales, including high-value catering transactions (up to ₱350,000).
• Monitor and validate inter-outlet transfers of goods across eight outlets, including Presidents Bar, using Google Sheets or other reporting tools to ensure proper tracking and documentation.

3. Oversight of Accounts Payable Transactions

• Review and validate Daily Charges Reports from ACCI and Presidents Bar, ensuring alignment with actual club payments.
• Reconcile manually input sales data against End-of-Day (EOD) reports to confirm data integrity and accuracy.
• Ensure timely processing and posting of accounts payable transactions while maintaining compliance with company policies and procedures.

4. Tax Compliance and Filing

• Assist in the preparation and submission of accurate and timely tax returns, including income tax, VAT, and other statutory requirements.
• Ensure completeness of documentation and adherence to local, state, and federal tax regulations.
• Monitor and review changes in tax laws and regulations, ensuring timely application of updates to maintain compliance.

5. Audit Support and Coordination

• Provide assistance during internal and external tax audits by compiling required documents and preparing supporting schedules.
• Coordinate with auditors to clarify, resolve, and address tax-related discrepancies and inquiries.
• Maintain well-organized tax audit files and documentation to ensure accessibility and audit readiness.

6. Tax Planning and Advisory Assistance

• Support the identification and implementation of tax-saving opportunities and efficient tax practices.
• Provide input into tax strategies that align with overall business objectives while maintaining full compliance with regulatory requirements.
• Collaborate with finance, procurement, and operations teams to ensure tax implications are considered in business transactions.

7. Tax Documentation and Record Management

• Ensure the accurate filing, reconciliation, and safekeeping of all tax-related records, supporting documents, and financial statements.
• Assist in the preparation and review of tax reports to ensure accuracy, completeness, and timeliness before filing.
• Conduct periodic reviews of tax records to verify compliance with company policies and statutory requirements.

Additional Assignments

To perform other tasks as may be assigned from time to time by the Immediate Superior or Functional Head and/or as determined by MLGH's discretion in the exercise of its Management Prerogative

Job Type: Full-time

Pay: Php20, Php25,000.00 per month
