- Delivery Documentation
◦ Collect, verify, and process physical or digital proof of delivery (e.g., signatures, photos, e-signatures) from recipients.
◦ Ensure all PODs are accurate, legible, and include required details (recipient name, date, time, delivery condition).
- Data Entry & Record-Keeping
◦ Input POD information into company systems (e.g., TMS, ERP) in real time or within specified deadlines.
◦ Maintain organized digital/physical files of PODs for auditing, dispute resolution, or customer inquiries.
- Dispute Resolution Support
◦ Assist in investigating delivery issues (e.g., missing PODs, recipient claims of non-delivery) by retrieving and analyzing documentation.
◦ Collaborate with drivers, customer service, and operations teams to resolve discrepancies promptly.
- Compliance & Quality Control
◦ Ensure adherence to company policies, industry regulations, and customer requirements for POD handling.
◦ Conduct regular checks to validate the completeness and accuracy of POD records.
- Communication
◦ Coordinate with drivers to collect missing PODs or clarify delivery details.
◦ Respond to internal/external requests for POD copies or status updates in a timely manner.
- Process Improvement
◦ Identify inefficiencies in POD workflows and suggest solutions (e.g., digital tools, training) to enhance accuracy and speed.
Requirements
Strong attention to detail and organizational skills.
Proficiency in basic computer applications (MS Office, data entry software).
Ability to work under deadlines and handle multiple tasks.
Good communication skills (verbal and written).
Familiarity with logistics or delivery operations is a plus.
