Job Overview
We're looking for a Hubspot Implementation Specialist to take full ownership of our HubSpot ecosystem—including CRM migrations, integrations, automations, and data operations. You'll be a key decision-maker in leveraging HubSpot to its fullest potential, driving improvements that boost efficiency, scalability, and user experience across the organization.
This role requires a proactive and critically-minded individual who can identify challenges, develop innovative solutions, and lead initiatives rather than simply completing a team member's requests.
Success in this role requires deep HubSpot expertise, a strong technical background, and the leadership skills to guide cross-functional teams and influence best practices. You must have an investigative mindset and advanced Excel skills to audit, clean, and maintain high-integrity data—identifying inconsistencies and merge opportunities beyond built-in tools. Strong communication and collaboration are essential.
Key Responsibilities:
CRM & Data Management
- Design, clean, and maintain CRM data for accuracy and reliability, ensuring all workflows, reports, and lists are meticulously organized.
- Conduct detailed data audits to proactively identify workflow issues, duplicates, inconsistencies, or inaccuracies, and propose creative solutions for resolution.
- Develop standardized usage guidelines and documentation for internal teams, ensuring clarity and adherence to best practices.
- Generate comprehensive custom reports (and not pre-made templates) and dashboards within HubSpot's reporting tool to provide actionable insights into CRM performance, campaign effectiveness, and data trends, adapting them as new offerings emerge or evolve.
- Lead and execute CRM migrations, ensuring smooth data transition from platforms like Appfolio and FINTRX to HubSpot, with a focus on process optimization.
Automation & Workflow Development
- Design and implement sophisticated automated workflows within HubSpot to ensure CRM data is streamlined and optimized for efficiency.
- Continuously evaluate and optimize existing processes to improve efficiency, scalability, and user experience, driving continuous improvement.
- Collaborate strategically with internal teams to define business requirements and translate them into robust, scalable HubSpot solutions that meet evolving organizational goals.
Integrations & Technical Solutions
- Map, design, and implement custom integrations using HubSpot APIs and Private Apps.
- Set up and optimize integrations between HubSpot and other platforms (ie. Zapier, Google, Typeform, JustCall).
- Ensure proper tracking and data synchronization across integrated systems.
- Troubleshoot and resolve CRM and marketing automation issues.
Training & Support
- Train team members on HubSpot best practices, workflows, and automation.
- Work efficiently and respond to high-volume internal requests in a timely manner to ensure momentum is maintained across departments.
- Monitor system performance and proactively address issues, implementing preventative measures and strategic enhancements.
- Stay updated on the latest HubSpot features, updates, and industry trends to continuously enhance processes and leverage new capabilities.
Qualifications & Skills:
- 5+ years of hands-on experience with HubSpot Implementation (as a technical specialist or advanced user), demonstrating a deep understanding of its capabilities and limitations.
- Expertise in Marketing Hub, Sales Hub, Service Hub, Operations Hub, and CMS Hub.
- Entry-level developer experience in any CRM
- Proven ability to audit and manage data at scale using advanced Excel skills (pivot tables, VLOOKUPs, INDEX/MATCH, conditional logic, etc.), with a strong emphasis on data integrity and process improvement.
- Highly detail-oriented with a strong ability to identify data anomalies and workflow issues independently.
- Strong knowledge of:
- HubSpot administration and data modeling for custom objects, with an understanding of how to optimize for business processes.
- Workflows, sequences, and webhooks, with an ability to design complex, efficient automations.
- CRM data migration, mapping, and deduplication, with a focus on maintaining data quality and consistency.
- HubSpot API and Private App development, demonstrating technical proficiency and creative problem-solving.
- 3rd-party integrations and automation tools, with an ability to design and implement robust integrated solutions
- Familiarity with additional platforms (e.g., ) is highly desirable.
- Excellent problem-solving skills with a collaborative and proactive mindset.
- Clear communicator with the ability to explain technical issues to non-technical stakeholders and work cross-functionally with marketing, sales, and operations teams.
