Job Overview
The Fleet and Travel Officer works closely with Operations and other cross-functional teams to manage and oversee all company fleet and corporate travel requirements. The role is responsible for ensuring the readiness, safety, and efficient utilization of company vehicles, as well as coordinating travel arrangements for employees. This includes monitoring fleet performance, enforcing travel policies, managing vendor relationships, and ensuring compliance with regulatory requirements. The officer also supports logistical planning, asset tracking, and the overall coordination of mobility services for the organization.
Key Responsibilities And Accountabilities Fleet Management
- Oversee the day-to-day operations of the company fleet, ensuring all vehicles are roadworthy, properly maintained, and compliant with regulatory requirements.
- Coordinate vehicle preventive maintenance schedules and monitor service records, repairs, and inspections.
- Track fleet utilization, mileage logs, fuel consumption, and other performance indicators.
- Ensure timely registration, insurance renewals, LTO documentation, and other statutory compliances.
- Respond to fleet-related incidents or emergencies and coordinate with insurance providers when needed.
Travel Management
- Arrange travel requirements for employees including transportation, accommodation, and related travel logistics.
- Ensure all travel bookings comply with company travel policies and budget guidelines.
- Maintain updated travel records and documentation for audit and reporting purposes.
- Assist employees with travel-related concerns, itinerary changes, and urgent travel needs.
Vendor & Contract Coordination
- Coordinate with accredited travel agencies, vehicle rental companies, service centers, fuel providers, and other mobility vendors.
- Conduct cost-benefit analysis and price comparisons to support vendor selection and cost optimization.
- Monitor vendor performance, ensure adherence to service-level agreements, and address service concerns.
Asset & Documentation Management
- Maintain accurate records of fleet assets, including assignment, return, and utilization history.
- Ensure proper documentation of all fleet-related transactions (gate passes, travel authorizations, maintenance receipts, etc.).
- Update and validate expense trackers related to fleet and travel operations.
Policy & Compliance
- Implement and enforce company policies on travel, safety, and vehicle usage.
- Recommend updates to improve mobility, safety, and travel efficiency.
- Ensure adherence to safety protocols and coordinate with relevant teams for compliance with company and government standards.
Reporting & Analysis
- Prepare monthly reports on fleet utilization, travel expenses, vendor performance, and cost-saving opportunities.
- Track KPIs related to fleet and travel operations and present insights to management.
Support & Coordination
- Assist in logistical planning for company events, employee transportation, and special travel requirements.
- Support operations during urgent issues involving fleet availability, vehicle breakdowns, or travel disruptions.
- Liaise with external government agencies (e.g., LTO, insurance bodies, LGUs) for regulatory needs when required.
Qualifications & Requirements
- Bachelor's degree in Business Administration, Logistics, or related field.
- Minimum of 3 years of experience in fleet and/or travel management.
- Experience in a BPO company is required.
- Strong knowledge of fleet maintenance, travel booking processes, and corporate travel policies.
- Experience liaising with vendors, service providers, and government agencies.
- Excellent organizational, analytical, and communication skills.
- Ability to handle multiple tasks and urgent situations with professionalism.
