General Responsibilities

  • Coordinates, oversees and/or manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance.

  • Reviews work orders to ensure that assignments are completed.

  • Recommends/implements improvements for preventive maintenance programs on an on-going basis and develop/maintain effective building-specific maintenance and safety procedure manuals.

  • Coordinates maintenance efforts with outside contractors, tenant finish personnel and technicians.

  • Oversee all building systems including fire/life safety, plumbing, HVAC and electrical issues and must remain current with latest HVAC technology trends.

  • Ensure customer focus within all areas of operational activities and maintenance of effective relationships with key client contacts;

  • Ensure that facility management staff consistently provides positive and prompt response to requests from the clients;

  • Manages a team consisting of Supervisor, Multi-Skilled Technicians and Engineers

  • Develop, prepare and explain the annual facility budget, quarterly forecasts, and business plans;

  • Develops specifications and assists in solicitation and administration of maintenance/repair service contracts.

  • Ensure SLAs & KPIs are achieved and aligned with contractual agreements; and

  • Effectively recommends same for direct reports to next level management for review and approval.

  • Plans and monitors appropriate staffing levels and utilization of labor, including overtime.

  • Mentors and coaches team members to further develop competencies.

  • Leads by example and models behaviors that are consistent with the company's values.

  • Ability to comprehend, analyze, and interpret the most complex business documents.

  • Ability to respond effectively to the most sensitive issues.

  • Ability to write reports, manuals, speeches and articles using distinctive style.

  • Ability to make effective and persuasive presentations on complex topics to employees, clients, top management and/or public groups.

  • Ability to motivate and negotiate effectively with key employees, top management, and client groups to take desired action.

  • Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures.

  • Ability to forecast and prepare budgets.

  • Conducts financial/business analysis, including the preparation of reports.

  • Ability to solve advanced problems and deal with a variety of options in complex situations.

  • Requires expert-level analytical and quantitative skills with proven experience in developing strategic solutions for a growing matrix-based multi-industry sales environment. Draws upon the analysis of others and makes recommendations that have a direct impact on the company.

  • Working knowledge and understanding of architectural, electrical and mechanical systems. Understanding of leases, contracts and related documents.

  • Performing routine maintenance on facilities and making repairs as needed

  • Maintaining day-to-day operations of facilities, such as delegating or completing maintenance orders

  • Creating reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff

  • Collaborating with upper management on budgeting for facility's needs.

  • Oversees building and grounds maintenance.

  • Oversees and supervises the quality of work for other employees to ensure that all tasks are performed correctly, efficiently, and effectively.

  • Conducts and documents regular facilities inspections.

  • Checks completed work by vendors and contractors.

  • Recommends maintenance, mechanical, electrical, and facility design modifications.

  • Communicates workplace safety precautions to employees.

  • Forecasts, allocates, and supervises the financial and physical resources of the facility management.

  • Assign tasks to engineers

  • Gauge the progress of various projects

  • Communicate effectively with customers

  • Propose budgets for various projects

  • Create reports to give updates on projects

Qualifications

  • With strong business acumen

  • 10+ years of facility management experience

  • Must be a Safety Officer II

  • Bachelor's degree in engineering

  • Must be a licensed engineer

  • Proven superior attention to detail

  • Self-starter who is goal-oriented, highly motivated, and excels in a fast-paced environment

  • Exceptional verbal and written communication skills

  • Strong public relations skills

  • Great analytical, math skills, and problem-solving mindset

  • Incredible problem-solving abilities

  • Ability to collaborate with many other teams
