Job Brief

We are seeking a reliable and organised Administrator with hands-on experience in the Registered Training Organisation (RTO) space. You'll be responsible for supporting daily operations, maintaining accurate documentation, and ensuring compliance across the student lifecycle. This role requires excellent attention to detail, strong communication skills, and prior experience working within an RTO setting.

Responsibilities:

  • Maintain and update student records in line with compliance requirements

  • Upload, file, and manage training documents using NovaCore or similar DMS

  • Liaise with trainers, assessors, and students to ensure accurate and timely information

  • Assist with enrolments, assessments, and certification processes

  • Monitor and report on training progress and compliance issues

  • Support general administrative tasks and team coordination

Requirements:

  • Proven administrative experience in a Registered Training Organisation (RTO)

  • Hands-on experience using NovaCore document management software

  • Knowledge of RTO compliance standards and processes

  • Strong written and verbal communication skills

  • Highly organised with excellent attention to detail

  • Able to work independently and meet deadlines

Desirable:

  • Familiarity with other LMS or student management systems

  • Experience with AVETMISS reporting or ASQA audits

  • A Certificate IV in Training & Assessment (TAE40116) is a plus, but not required

Software Proficiency:

  • NovaCore

  • Microsoft Office Suite or Google Workspace

Education:

  • Certificate or Diploma in Business Administration or related field (preferred)

Personal Attributes:

  • Proactive and self-motivated

  • Detail-oriented and reliable

  • Strong team player with a positive attitude

Time Zone: Australian Business Hours
