Role Overview:

As an Loan Processing Assistant, you will be instrumental in supporting the daily operations of the broker, managing their schedule, handling client communications, and ensuring that all administrative functions run efficiently. Your role will directly contribute to the broker's success, helping them focus on providing exceptional service to their clients.

Key Responsibilities:

  • Calendar & Schedule Management:

  • Manage the broker's calendar, scheduling meetings, calls, and travel arrangements to ensure efficient use of their time.

  • Coordinate and prepare pre- and post-meeting materials, ensuring smooth meeting logistics.
  • Client Communication & Relationship Management:

  • Act as the first point of contact for clients, ensuring all inquiries are addressed in a timely and professional manner.

  • Manage client communications, including drafting and responding to emails on behalf of the broker.
  • Track client responses, ensure timely follow-up on enquiries, acknowledge emails promptly, and properly tag them according to their response status (responded to or pending).s
  • Manage the broker's inbox by sorting emails based on urgency, client, type of enquiry, and in accordance with the broker's preferred organization system.
  • Send templated emails to clients with pre-approved mortgage applications, reminding them to search for properties, and send surveys to clients with recently settled loans to gather feedback on their experience.
  • Listen to client voicemails, transcribe the message, action any requests made by the client, and inform the broker of the client's request.
  • Call potential marketing leads and book appointment.

·       Diary Note Management

  • Manage diary notes by drafting and sending emails based on the broker's instructions, creating pricing and valuation tasks in the CRM according to diary note details, and uploading the diary note information into the CRM.
  • Listen to recorded meeting conversations and take action on urgent tasks as instructed in the diary notes when the transcript is not yet available.

  • Administrative Support:

  • Handle day-to-day administrative tasks such as document preparation, data entry, and report creation.

  • Maintain and organize client files, ensuring all documents are accurately recorded and easily retrievable.
  • Document Management & Compliance:

  • Ensure all relevant documents, including contracts, proposals, and financial reports, are properly prepared, filed, and stored.

  • Support the broker in maintaining compliance with industry regulations and company policies.
  • Create and send a link for the customer to sign or acknowledge the credit guide prior to the scheduled appointment with the broker and provide a link for the customer to upload relevant application documents. Collect and compile the documents and ensure each document is renamed and categorized accurately.
  • Task Management & CRM:

  • Assist with task management within the CRM system (e.g., Mercury), ensuring tasks are completed and deadlines are met.

  • Follow up on pending tasks and client requests to ensure they are addressed promptly.
  • Collect the client's monthly living expenses report and transfer the data into the CRM.
  • Market Research & Reporting:

  • Conduct research as needed to support client decisions and provide reports on industry trends, market conditions, and competitor activity.

  • Assist in preparing presentations and proposals for clients.
  • Travel & Event Coordination:

  • Coordinate travel arrangements, including flight bookings, hotel accommodations, and itineraries.

  • Organize client meetings, events, and conferences as required.
  • Actively participate in company lead campaigns.

·       Ordering Pricing and Valuation

  • Assist the broker at the outset of the loan process by reviewing broker meeting notes and actioning key instructions, including the ordering of pricing and property valuations. This task involves verifying that the loan strategy has been correctly interpreted and that the appropriate requests have been initiated. Track all submissions to ensure service level agreements (SLAs) are met, and review lender responses to confirm the most competitive interest rate has been offered. Additionally, negotiate rates where necessary, prepare pricing requests for multiple lenders, and compile a comparative report. Conclude by drafting a summary email outlining rate options and providing a clear recommendation on the most suitable lender.

·       Tracking Client and Partner Referrals

  • Track referrals from partner companies by recording them in a spreadsheet with correct client or company tags, coordinate thank-you notes or gifts for referral sources, and log daily broker appointments by the set reporting deadline.

Skills & Qualifications:

  • Proven experience as an Loan Processing Assistant or in a similar administrative support role, preferably in the financial services or brokerage industry.
  • Strong organizational skills with a keen eye for detail and the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM systems (Mercury or similar) is a plus.
  • Ability to handle sensitive information with the utmost confidentiality.
  • Strong problem-solving abilities and the ability to work independently in a fast-paced environment.
  • Proactive, resourceful, and adaptable with excellent time-management skills.
