Primary Responsibilities:

Administrative & Email Management

  • Manage and respond to emails, ensuring messages are categorized and prioritized appropriately.

  • Maintain and update digital files, records, and documents.

  • Attend LTM and Huddle meetings, take minutes, and distribute meeting notes accordingly.

CRM & HR Management

  • Manage and update Zenoti CRM for client and business records.

  • Use ADP for employee data management, including adding new hires and processing terminations.

  • Oversee Indeed job postings and manage applicant tracking.

Scheduling & Travel Management

  • Manage calendar scheduling, including booking COhatch and other necessary appointments.

  • Coordinate travel arrangements, including flights, hotels, and transportation.

  • Handle group booking management for company-related events and reservations.

Reporting & Inventory Management

  • Update and maintain scoresheets for performance tracking.

  • Generate and analyze sales reports as needed.

  • Cross-check and maintain wine inventory records.

Vendor & Financial Transactions

  • Communicate and coordinate with vendors to ensure timely delivery of services/products.

  • Process and manage accounting transactions efficiently.

Marketing & Research

  • Conduct market research to support business growth strategies.

  • Assist with sending out necessary forms via Adobe for internal and external purposes.

Job Requirements:
  • Prior experience in an executive assistant or similar role is preferred.

  • Strong organizational and multitasking skills with attention to detail.

  • Ability to work independently and handle sensitive information with discretion.

  • Excellent communication skills, both written and verbal.

  • Must be amenable to work at night

  • Must be comfortable working with timetrackers

  • Must have own working equipment (computer: atleast i5 and 8GB Ram, webcamera, and noise cancelling headset)
