Administrative Support – Business Development

Purpose of the Role
Provide dedicated administrative and compliance support to the Business Development and Research & Development teams. This role ensures accurate regulatory documentation, timely portal entries for major retail partners (Woolworths, Coles, Aldi), and efficient handling of compliance-related tasks, freeing internal teams to focus on strategic initiatives.
Key Responsibilities
Regulatory & Compliance (R&D)
- Maintain and update compliance documentation for product development and regulatory submissions.
- Track ethics and code of conduct acknowledgments.
- Prepare and upload required documents for audits and certifications.
- Monitor compliance calendars and ensure deadlines are met.
- Assist NPD coordination: Maintain Change Request Forms (CRFs) and related records; support BOM updates.
- External testing: Prepare documentation, obtain quotations, liaise with external laboratories on test requirements, protocols, and result follow-ups.
- Raw material assessments: Coordinate approvals with Quality and Procurement teams.
Portal & EDI Management (Business Development)
Manage Woolworths, Coles, and Aldi portal entries, including:
Uploading and validating purchase orders (PO), purchase order acknowledgments (POA), and purchase order confirmations (POC).
- Monitoring error folders and escalating issues promptly.
Running exception reports and notifying stakeholders of shortages within required timeframes.
Support deployment activities for EDI updates (e.g., defect triage, rollback coordination).
General Administrative Support
- Data entry and maintenance of pricing, margin analysis, and compliance logs.
- Prepare summaries and reports for BD and R&D leadership.
- Coordinate cross-functional communication for routine updates and alerts.
Requirements
Skills & Experience
- Strong attention to detail and accuracy in data entry and compliance documentation.
- Familiarity with retail portals and EDI processes (Woolworths, Coles, Aldi preferred).
- Understanding of regulatory requirements in FMCG or manufacturing environments.
- Proficient in Microsoft Office and ERP systems.
- Excellent organizational and time management skills.
- Ability to work effectively in a multidisciplinary, fast-paced environment.
- Basic technical understanding of cleaning products and associated testing requirements.
- Prior experience supporting NPD activities in FMCG or manufacturing environment.
Reporting Line
- Reports to: Chief R&D Officer and Chief Customer Officer (dual reporting).
- Dotted line: Head of People & Culture.
- Works closely with: Business Development Manager, R&D Manager, and external compliance partners.
Performance Indicators
- Timely and accurate completion of portal entries and compliance tasks.
- Zero missed deadlines for regulatory submissions.
- Reduction in administrative burden for BD and R&D teams.
